The post holder will provide comprehensive reception and administrative support to the Respiratory Department, ensuring all administrative aspects of the service are performed efficiently. Key duties include welcoming and checking in patients attending Outpatient and Diagnostic appointments, providing booking and scheduling support, and accurately recording all activity on the Electronic Patient Record (EPR) system and relevant internal databases.
The post holder will act as the liaison point for any enquiries, communicating with internal and external agencies to maximise the efficiency of the Respiratory Department.
The post holder will work closely with the Respiratory team, including medical consultants and physiologists. Whilst the post holder will be managed by the Assistant Service Manager for the Respiratory Department, they will have daily communication and close interaction with the Senior Respiratory Physiologist, which is essential to maintain the service provision.
The post holder will also work collaboratively with the second Administrative Receptionist to ensure consistent and effective support across the Respiratory Department.

• Manage patient appointments (Lung Function, Sleep Studies, CPAP) using EPR.
• Handle patient check-in/check-out, cancellations, and DNAs.
• Respond to patient emails, calls, and general enquiries.
• Create patient encounters and provide test information.
• Support the team with administrative/reception tasks and coordinate with central bookings.
• Ensure accurate data entry and maintenance of patient and clinical records.
• Maintain the domiciliary nebuliser service (records, stock, patient queries, device cleaning).
• Coordinate return and distribution of sleep study and CPAP devices.
• Report unexpected results, incidents, or equipment faults to Senior Chief Respiratory Physiologist.
• Ensure safe use of departmental equipment.
• Build positive working relationships within the Respiratory Medicine team.
• Communicate politely and effectively with patients, staff, and visitors; update patients on waiting times.
• Assist with arranging porters and patient transport.
• Support service development by highlighting staffing needs and assisting with service improvements.
• Participate in mandatory training, 1:1 meetings, and appraisals.
