Purpose of the Role
The HR Administrator provides high-quality administrative support to the HR function, ensuring accurate record-keeping, efficient
recruitment processes, and compliance with organisational policies and employment requirements.
Working closely with the HR Lead, the postholder will support the smooth day-to-day running of HR systems and processes across the
employee lifecycle. While this is an administrative role, a sound understanding of HR processes and confidentiality is essential.
This is a part time position of 18 hours per week.
Key Responsibilities
HR Administration & Systems
* Maintain accurate and up-to-date employee records, both electronic and paper-based, in line with GDPR requirements.
* Update and manage the HR system (Breathe), including employee files, absence records, annual leave and other relevant data.
* Ensure all HR documentation is filed and stored appropriately and securely.
* Support the preparation of HR reports as required.
Recruitment & Onboarding
* Support recruitment processes, including advertising roles, coordinating interviews and communicating with candidates.
* Prepare employment contracts and new starter documentation.
* Ensure all pre-employment checks are completed, including DBS checks, right to work verification and references.
* Support onboarding processes to ensure new employees have a positive start.
Payroll & Employee Changes
* Liaise with payroll to ensure accurate and timely processing of starters, leavers and contractual changes.
* Maintain accurate records of changes to hours, pay, leave and other employment details.
Employee Relations Support
* Provide administrative support for HR processes such as disciplinaries, grievances, absence management and redundancy
processes.
* Prepare letters, meeting documentation and outcome correspondence as required.
General Support
* Respond to routine HR-related queries from staff, escalating more complex issues to the HR Lead.
* Handle confidential information with professionalism and discretion at all times.
* Support the wider team with general administrative duties as required.
About You
We are looking for someone who:
* Has previous administrative experience, ideally within an HR environment.
* Has a basic understanding of HR processes and employment law.
* Is highly organised with strong attention to detail.
* Is comfortable managing confidential and sensitive information.
* Has strong written and verbal communication skills.
* Is confident using Microsoft Office (Word, Excel, Outlook) and HR systems.
* Takes a proactive and flexible approach to work.
