Management of the advice, housing needs, homelessness, rough sleeper and lettings systems To provide a systems administrator role in relation to certain processes and security activities for the system and be expert in its operation To provide training and advice in the operation of the system for all council departments and landlords To oversee and advise upon system faults, liaising as necessary with the software provider To regularly monitor access to the system to ensure access to sensitive information is only available to authorised persons To be responsible for maintaining the confidentiality of sensitive data, whether heldelectronically or in hard copy, and promptly reporting all breaches, or potential breaches to the Information Governance team Responsible for producing detailed quarterly reports on the housing register data to assist in understanding demand and helping with FOIs and to help inform planning applications and enquiries To be the specialist officer on producing all required reports To complete and manage the annual review process on a monthly basis To advise managers upon the systems features and capacity and facilitate small works orders as necessary Performance reporting, analysis and statutory returns To work with managers and analysts to define/develop common analysis tools to generate a suite of common performance reports across the Housing People service. To prepare and publish comparator reports to senior management to the agreed timetable To develop a suite of analysis tools and reports based on finances on a monthly, year to date and historic data to identify key trends and developments To utilise key trend analysis in development of Performance Trend Modelling systems and provide detailed information to support the service, presented accessibly. To identify issues and options within current service provision and their future trends to support management decision-making To provide ad hoc support to housing managers on specific projects when required. Adding value to information by building scenarios. Work with operational officers to scope data requirements, to research data and to prepare and present statistics in the required formats To work with managers to translate the performance requirements of their areas into meaningful measures To attend performance meetings and give presentations of data on a regular basis To develop and maintain knowledge of the business, including, work and data flows plus statutory and management information definitions To ensure the delivery of quantitative information to support the planning for, and commissioning of, future services To promote the use and understanding of performance and business information. To analyse trends in performance across the department, alerting management at early stages and suggesting alternative methods to improve data collection, using best practice from across the sector and research of the sector To carry our research projects and initiatives to allow consideration of performance and performance standards To be responsible for providing statutory statistical returns and benchmarking data To work closely with managers to support the improvement of housing provision and services To research and analyse best practice across the housing sector to improve services across the council, identifying innovative practice and areas for improvement through links with high-performing landlords To ensure that published material such as information leaflets; web pages and public reports are relevant, up to date and accessible, maintaining a high level of technical competence in publishing and web applications Housing management functional support To monitor the overall levels of arrears for temporary accommodation, private sector leased homes, gypsy and traveller sites and short-stay stopping places To calculate service charges, working alongside the councils contracts team to identify current and future costs To calculate in relation to advertising amounts owed, raise invoices and effectively recover debts, ensuring that all amounts legally due are charged and income is maximized To be responsible for ensuring all payments and credits are credited to the right account, identifying where payments in the suspense account need to be credited To ensure that all information sources are maintained according to corporate guidance
