Care Group B at the Norfolk and Norwich University Hospital are looking to recruit Receptionists for the Ophthalmology, ENT and Dermatology Outpatient Departments.
As a receptionist you will be the welcoming face of care for our patients and their families.
You’ll keep clinics running smoothly—checking patients in, managing appointments, and making sure information is captured accurately and confidentially in real time on PAS—so our clinical teams can focus on delivering safe, compassionate care. This is a 7 day service with rota based shifts to ensure patients receive a consistent, high quality experience throughout the week, supporting multiple clinics as service needs require.
As a Receptionist in Outpatients, you will be the first point of contact for patients, relatives and visitors, providing a welcoming, professional and efficient reception service. You’ll manage patient arrivals, confirm demographics, oversee waiting areas and support clinic flow to ensure a safe, smooth experience.
Your role includes booking, cancelling and amending appointments, preparing clinic lists and case notes, and ensuring all information is recorded accurately and in real time on PAS, including RTT updates and post session outcomes. You will liaise with secretaries, clinical teams and other departments to make sure referrals, investigations, X rays and essential documentation are available for every clinic.
You will handle telephone and face to face enquiries courteously, prioritise requests, maintain filing systems, track notes, and arrange patient transport when required. Working as part of a busy multi disciplinary team, you’ll support colleagues, follow Trust policies and uphold NNUH’s PRIDE values in all aspects of your work.

• To provide a support service to the technical, secretarial, medical and nursing staff of the Department.
• To carry out receptionist duties, including prioritising and arranging appointments and maintaining the various appointment systems, identifying test requests and investigations, and co-ordinating the various clinics within the department.
• To deal with patients and external and internal staff enquiries in person or via the telephone, in a courteous and confidential manner and provide assistance as required.
• To ensure patients safety and well-being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern.
• To keep a log of telephone requests for investigations in line with department policy, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
• To ensure appointment lists are maintained and prepared in readiness for clinical work.
• 7. To obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
• To maintain a record of the transfer of notes to and from the department.
• To understand the 18 Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
• To liaise with Secretaries and other departments within the Trust as necessary to ensure case notes, X-rays and referrals are available for every patient attending an outpatient clinic. Liaise with external stakeholders to obtain referrals if necessary.
