MAIN DUTIES AND RESPONSIBILITIESFinancial Management Lead financial planning and management of the annual frailty budget with the Finance Director and Senior Community Matron. Maintain accurate financial records, including income, expenditure, forecasting, and monthly bank reconciliations. Ensure timely payment of salaries, HMRC, and other organisational expenses. Prepare financial reports for the PCN, ICB, and Healthy Corinium Directors. Complete annual financial returns, including NHS Pension reconciliations, and support year-end accounts. Ensure the service operates within budget and meets NHS contractual requirements. Authorise ordering of equipment, stationery, and clinical/technical supplies. HR Management Administer monthly payroll and monitor mileage claims and parking permits. Maintain staff records, including professional registration, DBS, insurance, and emergency contacts. Manage annual leave, sickness, and special leave processes. Maintain and review HR policies and procedures with the Senior Community Matron. Support recruitment, staff welfare, and formal HR processes. Monitor and report compliance with statutory and mandatory training and organise training as required. Maintain staff handbooks, job descriptions, contracts, and employment records. Administration, Organisation & Planning Coordinate the review and updating of service policies and procedures. Organise and support meetings, including agendas, minutes, and action tracking. Liaise with GP practices regarding accommodation and infrastructure for staff. Provide general administrative support to the clinical team. Performance Review & Quality Improvement Use initiative and problem-solving to support effective service delivery. Analyse information to support service improvement and performance. Support the Senior Community Matron and Frailty Team to ensure service success. Information Management and Technology Maintain IT asset registers and documentation. Arrange IT access and equipment for staff, including starters and leavers. Lead completion of the annual Information Governance DSP Toolkit and maintain IG documentation. Use IT systems to produce reports and service documentation. Manage the frailty service mobile phone account. Premises Management Liaise with Watermoor Point regarding office accommodation and associated services. Health & Safety and Security Ensure compliance with health and safety legislation and organisational policies. Maintain risk assessments and safe systems of work. Ensure appropriate insurance cover is in place. Monitor PAT testing, medical equipment checks, and incident reporting. Develop and maintain the Business Continuity Plan. Communication Liaise effectively with internal and external stakeholders, including PCN and ICB colleagues. Communicate clearly with staff and partners and escalate risks appropriately.
