Crynodeb
To provide comprehensive and confidential administrative and clerical support to the ward team in accordance with the departmental and Trust standards. To keep a well organised ward and ensure all relevant systems and processes are kept up to date to ensure smooth patient care from admission to discharge. To provide support and guidance to all colleagues internally and externally in and professional and informed manner.
Act as a first point of contact in person or on the telephone for patients, relatives and visiting staff, welcoming them to the ward and dealing with any queries, including those relating to admission, discharge, visiting times, claiming expenses, accommodation, insurance and parking.
Assist patients who may wish to claim expenses.
Print off theatre lists and maintain ward diaries
Book and track medical records. Maintaining an organised and up-to-date filing system of notes using the ward trolley, ensuring that all medical records are in order before leaving the ward.
Liaise with other departments/hospitals to obtain medical records for authorised users. File reports in the medical record.
Undertake other admin duties including managing post filing, photocopying and ordering or stationary to ensure the smooth running of the ward.
Maintain adequate stocks of stationary
Collect personal and confidential information from patients or relatives in order to complete the admissions process, including assignment to correct consultant, and ensure patient admissions, attendances, discharges and transfers are recorded in a timely manner on the patient administration system. Ensure adherence with the Data Protection Act and Trust procedures in respect of the patient record.
To ensure that information on overseas patients is entered accurately onto EPR, to ensure appropriate charges are incurred.

Following patient discharge, ensure that all medical/nursing notes are
complete, filed in the correct order and coded as per unit policy. This will
include, for out of area patients, sending a copy of the discharge letter and
other relevant medical notes to their local Hospital/clinical team.
Ensure that transport for any discharges is booked on line (if SCAS) at least
24 hours an advance. Be a ward ‘expert’ for transport booking ensuring that
the nursing staff are able to book and check journeys.
Liaise with other departments within the hospital to book any requested
investigations and/or transportation from hospital or between departments.
Book patients’ follow-up appointments and maintain a record of all
appointments made.
Undertake surveys/audits as requested by the Ward Manager.
Provide cover for other ward clerks during periods of leave and absence.
Perform any other duties appropriate to the grade and objective of the post as
directed by the Ward Manager.
To participate in the induction and training of new members of staff within the
team.
Liaise closely with the coordinator of each shift with regards to admissions
and discharges.
Liaising with the coders to ensure all coding of discharged patients is
completed .
Distributing and redirecting mail as required
Issuing car parking forms for patients and relatives as appropriate.
Acquire, maintain and improve the knowledge and skills required to perform
the role, undertaking in-house training as agreed with the department
manager.
