Crynodeb
The Operations Coordinator (maternity cover) will provide essential continuity to operational and administrative functions during the maternity leave period. The postholder will support Core Services, CAS, Clinical Teams and the wider operational management team to ensure the smooth running of day to day operations and the maintenance of established processes. The role requires strong organisational skills, accuracy and the ability to work effectively with frontline and management colleagues in a fast paced environment. The postholder will contribute to key reporting, coordination and administrative activities that underpin safe, effective and efficient service delivery. Key Duties and Responsibilities: Meeting & Governance Administration Provide agenda setting, minuting, coordination and action tracking for: o IUCS Operational Management Meetings o End to Ends o HUC Contract Meeting o Falls Contract Meeting o Quarterly Clinician Meetings o CRG Meeting Distribute meeting documentation to attendees prior to meetings. Maintain and update meeting action trackers. Core Services, CAS & Clinical Coordination and Operational Support Pull and prepare weekly and monthly data for Core Services, CAS and Clinical Operations Group assurance reporting. Produce and maintain the weekly base report and associated logs. Support oversight of fuel and mileage reporting. Support GP Resilience by preparing and issuing quarterly invoices to GP surgeries for training cover, using data from Outlook calendars, OneDrive and Adastra. Support Area Managers with HR related administrative tasks as required. Complete base orders and ensure paperwork cabinets are fully restocked and up to date. Prepare and submit weekly stationery orders and maintain inventory records. Undertake a range of general administrative duties, including: o Updating and creating Microsoft Forms. o Liaising with drivers and receptionists and responding to routine queries. o Processing and maintain records of driving license checks and driver registration forms. o Managing ID badges (ordering, collecting, activating). Order operational supplies, including O cylinders (BOC), water (Thirsty Works), yellow seals and evidence bags. Print and laminate posters and base signage; ensure IPC information remains current across bases. Manage and triage shared inboxes with the operational management team (EPRR, Area Manager, Operations Issues, Cornwall Admin). Compliance Support the Operations Team with weekly fire safety checks, including activation tests of the fire alarm and accurate recording of results. Carry out weekly equipment safety checks, including confirming defibrillator functionality and ensuring all items in the first aid kits are present and in date. General Administration and Customer Service Manage and process documents such as confidentiality forms and permit requests maintaining records as required. Provide head office administration cover (answering phone line, doorbell, parcel handling, greeting guests) Provide cover/continuity for the Senior Operations Coordinator Perform any other reasonable duties aligned with the role, as assigned by the Programme Manager and operational leaders. You will be expected to carry out any other duties that may reasonably be required in line with your main duties, as directed by your line manager.
