Guest Experience and Dispatch Co-ordinator (Maternity Cover) / Maidstone / £28,000 P.A.
Due to unprecedented growth and new strategic partnerships, our client now requires a coordinator to cover Maternity Leave who has excellent organisational skills with ability to use own initiative.
The candidate should hit the ground running and work to extremely tight deadlines to support the GE & Dispatch Manager. The right candidate will join the Event Operations department where our core responsibility is to build, maintain and implement our Customer Experience Strategy.
Reporting to the Guest Experience & Dispatch Manager, It is expected that the maternity cover will last for around one year.
Key Responsibilities of the Guest Experience and Dispatch Co-ordinator
• Request itinerary information from suppliers.
• Chase suppliers for itineraries.
• Work with GE Manager on requests from customers address updates, parking, dietaries etc.
• Update/Record systems with all client information and update ticketing apps
• Communicate event information to Account Managers detailing delivery expectations.
• Deal with general Customer ticketing queries and communicate with clients (Phone and email)
• Allocate and distribute tickets, prepare guest packs, log ticket numbers, manage all post and work with Royal Mail, using click and drop, and other courier services.
• Submit information to dispatch records
• Manage incoming packs, including ticket / pack verification and quality assurance
• Ensuring guest information has been received from the customer and logged accordingly
• Handle financial data in line with information security policies, ensuring confidentiality and accuracy.
• Follow role-based access controls and maintain secure records in accounting systems.
• Adhere to secure data handling, storage, and disposal practices,
• Report security incidents or anomalies promptly.
• Participate in annual information security and fraud awareness training.
Required Skills and Experience:
• High degree of focus, attention to detail and organisation,
• Unflappable and confident dealing with customers.
• Experience within a high paced dispatch / postal or courier environment is preferred.
• Ability to work well and consistent under pressure.
• Able to prioritise workload ‘drop off and pick up’ tasks where necessary.
• Confident and analytical problem solver with effective communication skills.
What to expect in return:
• A salary of £28,000 per annum
• Working hours of Monday to Thursday – 8:45 am to 5:30 pm and Friday 8:45 am to 5:00 pm
• Morning and afternoon break 11.00am – 11.15am & 4.00pm – 4.15pm
• Lunch Break – 1.00pm – 2.00pm
