Inputting & updating patient records, ensuring they are accurate and up to date.
Booking appointments for patients.
Coordinating with patients to confirm appointments and sending reminders.
Answering phone calls & emails from patients, staff, or other healthcare providers.
Relaying information accurately and professionally between departments and patients.
Ensuring all correspondence is accurate and sent in a timely manner.
Managing files, databases, and other paperwork as required by the department.
Accuracy is crucial when handling patient information and administrative tasks.
Being able to multitask and manage time effectively is essential, especially in busy environments.
Clear and professional communication, both in writing and verbally, is important for liaising with patients and staff.
Adhering to strict confidentiality guidelines due to the sensitive nature of medical records and personal data.
Familiarity with healthcare software systems, word processing, and spreadsheet applications is often required.
Handling issues such as missed appointments, patient inquiries, or scheduling conflicts.
Most clerical admin roles in the NHS require at least a GCSE level education, with proficiency in English and Maths.
The post holder will support the clerical team within the Women’s and Children’s Outpatient and Ultrasound Department. You will be responsible for providing a high quality administration service to support the clinical teams of ultrasound, antenatal, paediatric and gynaecology services.
The post holder will be expected to work as a member of the Women’s and Children’s team, fulfilling outpatient’s clerical duties and will work closely in conjunction with the Team Leader and Assistant General Managers to assist with co-ordination of a comprehensive patient centred ultrasound and outpatient service.
The post hold will have a duty to ensure accuracy of confidential, sensitive information and data input. The will ensure high levels of data quality and other aspects of administration and clerical work as required.
This is a role with lots of variety and adhoc demands and so the post holder will possess good time management and planning skills, be able to work independently and will be highly motivated by good practice in relation to patient care/service delivery. The post holder will have the ability to assess, analyse and problem solve self-sufficiently to support patients, visitors and service users in management of multiple clinical diaries and appointments.
