We’re looking for a highly organised and proactive Personal Assistant to provide exceptional support to our Operations Manager and Senior Leadership Team. This is a varied and rewarding role that combines administrative excellence with event coordination and leadership responsibilities.

What you’ll do:

You’ll manage complex schedules, confirm appointments, and ensure all meeting details and documents are prepared in advance. Acting as the first point of contact, you’ll handle calls, emails, and correspondence on behalf of the Ops Manager. You’ll also arrange travel, prepare reports, and maintain our leadership SharePoint site. Office management tasks, including supplies and expense processing, will be part of your remit, all while maintaining the highest level of confidentiality.

You’ll play a key role in event planning and visit coordination, ensuring smooth logistics for internal and external events. From invitations and RSVPs to security arrangements and on-site support, you’ll make every event run seamlessly.

Additionally, you’ll take on a duty role as an Assistant Thames Barrier Duty Officer (ATBDO), supporting staff to deliver safe and effective operations. Responding to incidents is a central part of what we do. This may attract an additional payment and full training and alternative working arrangements will be available to support this.

The Thames Tidal Defences Department manages the iconic Thames Barrier and its associated gates, protecting 125 km² of London from tidal flooding. Behind this protection is a dedicated team of asset managers, engineers, forecasters, and security professionals, working together to ensure resilience, reliability, and rapid response across one of the UK’s most important flood defence networks.

Experience/skills required

Essential Skills & Experience

• Strong organisational and time management skills
• Excellent communication skills (written and verbal)
• Proven experience in diary/calendar management
• Ability to arrange travel and logistics
• Document preparation and SharePoint management
• Event planning and coordination experience
• High attention to detail and accuracy
• Financial administration (expenses, returns)
• IT proficiency in Microsoft Office Suite
• Ability to maintain confidentiality and discretion

Desirable Skills

• Previous PA experience supporting senior leaders
• Knowledge of SharePoint administration
• Formal event management training
