Crynodeb
To be the first point of contact for clients, carers, GPs, identifying urgent calls and prioritising responses. Dealing with enquiries which may at times be of a distressing nature and require sensitive handling Take and process a high volume of self-referrals over the telephone. Contact service users to arrange assessment and treatment appointments on behalf of the Therapists. Respond to service users and referrers. Support the clinical lead in monitoring and reporting on caseload activity. Support the clinical lead by producing reports/documents from different software applications. Plan and prioritise work ensuring targets are achieved and monitored. Initiate and respond to correspondence/e mail. Obtain, organise and monitor supplies in line with Trust policy. Arrange and prepare for meetings, including minute taking. Preparation/completion of routine documents, including letters, reports, presentations and forms e.g. purchase order requisitions, photocopying, filing Act in accordance of the Data Protection act 1998 Undertake other duties appropriate to the role as allocated by the line manager. To liaise closely with the Band 4 senior administrator regarding role and service development and to see clarity and guidance on administrative processes. Provide advice, or demonstrate own activities or workplace routines to new or less experienced employees in own work area. The role will require capacity to make decisions, which may require consideration of a range of options, such as: Judgements on how to deal with enquiries, patients/carers/external contacts Prioritising work, resolving conflicting diary appointments and schedules
