Crynodeb
The following are the core responsibilities of the assistant practice manager. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels. The assistant practice manager is responsible for: a. Supporting the practice manager in the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities b. Providing leadership and guidance for the following staff: Administration Manager, Reception Manager, Senior Administrator, Senior Receptionist and Lead Nurse c. Lead on the recruitment of non-clinical staff, including advertising roles, vetting candidates, interviews and issuing employment contracts d. Co-ordinating logistics for new hire orientations e. Compiling and maintaining paper, digital and electronic employee records. f. Coordinate all staff absences, maintaining an effective absence register g. Entering payroll details onto iris portal h. Ensuring staff adhere to policy and procedure at all times i. Carry out appraisals for non-clinical staff and work with them to create personal development plans (where appropriate) j. Monitoring compliance with health and safety legislation, providing leadership and direction for staff k. Developing, implementing and embedding an effective practice training programme for all staff (clinical and administrative) liaising with external agencies when necessary and maintaining a training record l. Manage compliance registers, supporting the practice manager, ensuring DBS checks are conducted. m. Support the management team in the compilation of practice reports. n. Maintain the significant event database, providing advice to staff and briefing the team at meetings as required. o. Identifying trends and devising solutions to reduce risk and repeated occurrences of significant events. p. Responsible for the timely preparation, submission and follow up claims (e.g. CQRS, DES, IIF, PCN-related activity, and locally enhanced services Secondary Responsibilities In addition to the primary responsibilities, the Assistant Practice Manager may be requested to: a. Deputise for the practice manager in their absence b. Act as the primary point of contact for NHS(E), CCG, community services, suppliers and other external stakeholders in the absence of the practice manager c. Assist with the recruitment of staff as requested by the practice manager d. Support the practice manager in the reviewing and updating of practice policies and procedures e. Support the practice manager with CI and change initiatives. f. Manage asset registers as directed by the Practice Manager. g. Act as the communication link between the management team and staff. h. Represent the practice locally required. i. Maintain a working knowledge of CCG initiatives
