KEY ACCOUNTABILITIES & RESPONSIBILITIES Strategic SMT Role modelling St Wilfrids culture and valuesWorking with the SMT to develop and implement the organisational strategy and values, and develop business plans and supporting strategies which enable St Wilfrids to implement its organisational strategy and achieve its goals and objectivesWith the SMT and Trustees, contributing to the management and assessment of strategic and operational riskSupporting the Chief Executive in undertaking negotiations with statutory bodies and other organisations on matters of funding, securing of resources and service level agreements / contractsAttending and participating in meetings of the Board of Trustees and its committees, as requiredDeputising for the Chief Executive, as required, and working with the SMT to provide effective leadership across the organisationRepresenting St Wilfrids SMT as and when appropriate, maximising opportunities for collaboration and enhancing reputation e.g. attending fundraising eventsLeading or engaging in different working groups across the organisation as and when appropriateLeading the organisation as the Senior Manager on Call when appropriate, taking appropriate actions as incidents arise and supporting employees and volunteersChampioning and promoting collaborative working with other hospices and organisations as appropriate Finance Working closely with the Treasurer and Chair of Trustees to develop strategic financial directionReporting on financial performance and projections to the SMT, Board and CommitteesDirecting the annual budget setting and longer term strategic financial planning, ensuring there is a robust analysis and justification of intended expenditure and incomeDeveloping and implementing finance and payroll systems, policies and procedures, ensuring regulatory complianceAdvising the SMT, Board and Committees on taxation implications for St Wilfrids, seeking advice when requiredLeading the preparation of the annual accounts for audit in accordance with accounting good practice and the Charity Commissions Standards of Recommended Practice, liaising with the auditors and presenting the final accounts to the Finance & Audit Committee and Board of Trustees for approvalWorking with the Directors of Clinical Services and Income Generation to ensure efficient and effective financial management of St Wilfrids operations Facilities Working with specialists to develop strategic Facilities directionReporting on performance and progress to the SMT, Board and Resources CommitteeDirecting the annual Facilities budget setting and longer-term strategic planning, ensuring there is a robust analysis and justification of intended expenditureDeveloping and implementing Facilities policies and procedures, ensuring regulatory compliance Information Technology (IT) Working with specialists to develop strategic IT directionReporting on performance and progress to the SMT, Board and Resources CommitteeDirecting the annual IT budget setting and longer-term strategic planning, ensuring there is a robust analysis and justification of intended expenditureDeveloping and implementing IT policies and procedures, ensuring regulatory complianceEnsuring the completion of the NHS Data Security and Protection Toolkit (DSPT) Legacy Administration Reporting on performance and progress to the SMT, Board and Resources CommitteeDeveloping legacy administration systems, policies and procedures to ensure the Charity maximises its entitlement to legacy income. OperationalFinance Responsible for all hospice financial, management and departmental accounts, ensuring there are robust accounting procedures and systems of internal controls, including audit and monitoringEnsures the effective performance of the Finance and payroll DepartmentEnsures budget holders receive up to date, timely and accurate management accounts and financial information so they can effectively manage their budgets and teamsDevelops and maintains methods for costing hospice servicesMaintains accurate management accounts, projections and cash-flow forecastsMaintains and develops computerised financial systems ensuring effective systems are in placeOversees all aspects of taxationEnsures compliance with the Scheme of Delegation, as agreed with the Chief Executive and TrusteesLiaises with auditors, external accountants, investment managers, solicitors and other professional and financial advisors to the hospice as relevantEnsures St Wilfrids efficient and effective day to day financial administration Information Technology Responsible for the hospice IT infrastructure , ensuring there are robust procedures and systems of internal controls and cyber security, including audit and monitoringEnsures the effective performance of the IT DepartmentOversees the contract with the third-party IT provider and the development of the IT roadmapLeads on compliance with Data Security and Protection Toolkit, as Information Governance Lead, and member of the Data Care Steering Group Facilities Responsible for the main hospice building facilities and estates, ensuring there are robust procedures and systems of internal controls, including audit and monitoringEnsures the effective performance of the Facilities and Estates DepartmentSupports the management of St Wilfrids insurance policies, advising the Trustees on the range and levels of cover required Legacy Administration Responsible for the hospice legacy administration, ensuring there are robust procedures and systems of internal controls, including audit and monitoringEnsures the effective performance of the legacy administration teamOversees the work of the third-party Legacy administratorEnsures the efficient and effective legacy administration and leads on all matters relating to the administration of legacies receivable General Ensures the effective assessment, recording and management of risk in all areas of responsibilityLeads by example and seeks opportunities to make continuous improvementParticipates in audit projects and research e.g. to monitor competitor activity of other Hospices and charities and report findingsMaintains Company records and ensures Company Secretarial duties are completed People Builds, leads and manages teams, providing direction, support and development opportunities to enable individuals to reach their full potentialMaximises the appropriate use of volunteers in relevant departmentsDevelops and delivers annual aims, objectives and Key Performance Indicators (KPIs) for all direct reports and their teamsDevelops the capability and motivation of teams through application of performance managementProvides development, training and support for self and others
