Summary

The Acute Diagnostic Oncology Clinic is a rapid diagnostic centre that receives urgent GP referrals for patients suspected of having cancer. We aim to conduct investigations and diagnose patients at their first appointment. Many of our patients, do not have a cancer diagnosis, but the objective is to ensure that all patients leave clinic with a plan of investigations, treatment or onward referral.



The Service runs at both hospital sites, and you will be required to work at both hospitals.



The aim of this role is to ensure that the patient, clinicians, and all required information are in the appropriate place, with all the necessary clinic resources to enable same day diagnoses and rapid treatment of patients to meet targets.



You will work with, coordinate and support the Clinical team as well as working with a wider range of clinical and managerial staff to actively manage the patient through the clinical pathway. You will be responsible for facilitating and tracking the patient’s progress.



This role is a combination of administration, clinic organisation, clinical team and patient support. The role will sit within the Cancer Services MDT Coordinator team but with close links to the EIC Operational team.

You will need to be able to recognise a sense of urgency, remain professional and conduct all your tasks in a time-sensitive manner to meet our same day targets.



You will need to be able to communicate with patients adhering to the trust values. Your patient responsibilities will include arranging appointments, guiding and accompanying patients if required, telephoning them at home with appointment information. You will not be communicating clinical information to patients.



You will require excellent IT skills to use our clinic systems and to record clinic data on a daily basis. Experience using Somerset Cancer Registry and Cerner is a bonus. You will be required to collate and present information using a range of software.

Clinic coordination and administration

· Monitor and receive patient referral notifications and queries (via eRS or email) and alert the Clinical Team. Respond accordingly to enquiries.

· Update the Clinical team with incoming information from external Trusts and General Practitioners in a timely manner.

· Co-ordinate and provide administrative support to ensure that all the relevant referral paperwork (from primary and secondary care sources) and clinical information is available within the necessary timescale for each patient appointment.

MDT and other meetings

· Arrange ADOC meetings (cross site), take minutes and organise agendas.

· Plan and organise multi-disciplinary team meetings.

· Provide administrative support to the ADOC MDT.

Cancer waiting times
• · Ensure that all patients are tracked against the national 14- day and 28-day cancer waiting time targets. This includes monitoring patient appointments, attendances and highlighting any potential breaches of the targets to the Cancer Services Manager and the clinical team in a timely fashion.
• · Record accurate clinic data, analyse and present data in an easy-to-read format.

Personal management and development

· Plan and organise own work schedule on a daily basis in order to meet deadlines and reporting requirements without direct management supervision.

· Develop and maintain effective working relationships with other departments and teams within the Trust (e.g. the Day Unit, Specialist Palliative Care team) and external organisations (e.g. GPs, community hospice teams) involved in the care of cancer patients to ensure the provision of a cohesive, patient-focused service.

Communication
• · Ensure that the highest standards of customer care are consistently applied within the Service
• · Ensure all communication, which may be complex, contentious or sensitive, is undertaken in a responsive and inclusive manner, focusing on improvement and ways to move forward.

These duties are not exhaustive and will be reviewed with the post holder, allowing for amendments within the broad scope and band level of the role.
