About the role

The Resource, Planning and Capability Manager operates in a dynamic distribution environment, serving as the key liaison between central operations and the Head of Distribution. The role focuses on driving performance through effective resource planning, budget management, and continuous improvement of KPIs. Responsibilities include inspiring and coaching teams to deliver excellent customer service, identifying and developing talent, and ensuring training needs are met. The manager collaborates with team and shift managers to maintain best-in-class operating procedures, supports site needs, and fosters a culture of helpful and friendly service behaviors. Strong leadership, communication, and strategic planning skills are essential to achieve operational excellence and meet business objectives.

What I do:

  • Work in a fast-paced distribution environment where no day is the same.
  • Effectively be the point of contact for the central operations reporting into the Head of Distribution.
  • Inspire your team to be customer focused to meet the performance metrics and deliver excellent service to our stores.
  • Manage a specified budget whilst striving to be results drive through continuous improvement of KPI’s.
  • Listen to understand site needs and ensure we are delivering for the business.
  • Have a great understanding of how your team is performing and coaching, delivering and supporting Managers to deliver practical actions for improvements.
  • Spotting talent and providing coaching when needed, ensuring my team are inspired to serve our customers.
  • Role modelling helpful and friendly service behaviours demonstrating my enthusiasm to what is right for our customers.
  • Planning my teams training needs and developing those who want to get on within One Stop.
  • Having affective everyday conversations to support my team\'s performance.
  • Working in collaboration with Team & Shift managers to ensure our operating procedures are best in class and focus on providing our stores with the service they require.

What the role involves:

  • Leading & delivering in the Distribution Centre across all shifts by:
  • Being responsible for ensuring effective planning and organisation of our colleagues by working with the operational management teams and our 3rd party partners to ensure the right number of colleagues are in the right place at the time across all times.
  • Delivering and continually evaluate/innovate high quality ROTA, holiday and Skills planning tools.
  • Proactively balance warehouse cost drivers to achieve the optimal results, from both a cost and service perspective.
  • Working with operational teams to produce and continually review ROTA patterns in line with operational key performance indicators and forecasts.
  • Monitoring daily One Stop and 3rd party variances to ensure full and accurate resource requirements are formed on a daily/weekly basis and adjusted as required.
  • Being responsible for the day-to-day management of the Resource, Planning and Capability associates ensuring they are focused inputting accurate information, service delivery, productivity and efficiency to agreed targets.
  • Leading the Warehouse planning cross functional projects as required.
  • Building effective warehouse planning for routines/activity, working in partnership with the Distribution centre manager, lead teams, People team and Agency partners.
  • Ensuring our plans are built from – 12, and work in collaboration with the operational teams to ensure resource is where it is needed by effectively communicating with all stakeholders, coordinating resources and managing where our available resource is required.
  • Ensuring the Distribution centres holiday management process is managed and controlled robustly (Holiday and Time off matrix) and each warehouse management team has the information they need to make informed decisions about their team’s holiday and time off requests.
  • Completing root cause where plans have not delivered the required results and put plans in place to prevent a re-occurrence.
  • Completing a handover to the operational team(s) after week -1 and I never adjust/adapt the plan “on the day”, allowing the operational management team to make decisions in the moment and own the plan. Instead, I focus on any root cause analysis for the plan not delivering as expected and make recommendations to prevent re-occurrence.

Skills Mix:

  • Monitoring the Distribution Centre’s skills matrix and ‘max the mix’ of skills required for safe and efficient operations across all shifts.
  • Working with the operational management teams to pro-actively plans skills requirements to drive optimal performance and efficiency across all shifts
  • Building the Team Manager, Shift Manager and all DC colleagues ROTA’s for the sites and review compliance for the weekend cover. I ensure we have enough hours ROTA for the volume demand plans.
