Job Overview

We are seeking a dedicated and organised Administrative Officer (AO) to join the team at Brentford County Court. This is a full-time, office-based role supporting the effective delivery of court and tribunal services through high-quality administrative and operational support.

Key Responsibilities

Administration

  • Preparing papers and files for courts, tribunals, hearings, and meetings

  • Producing court and tribunal documents

  • General photocopying, filing, and data input

  • Creating and updating records on in-house systems

  • Opening and dispatching post

  • Booking and preparing meeting rooms and supporting training sessions

  • Preparing meeting agendas, joining instructions, and handouts

Drafting

  • Drafting standard letters, correspondence, minutes, notes, reports, and submissions in line with guidelines

Court & Operational Support

  • Clerking civil and family courts, tribunals, and hearings

  • Assisting court users and supporting listing and rota management

  • Contacting relevant parties, scheduling hearings, serving documents, executing warrants, and collecting fines and fees (including chip and pin payments)

  • Handling face-to-face, telephone, and written enquiries

  • Working collaboratively as part of a team to support Team Information Board (TIB) meetings

  • Contributing to problem-solving, new SOP implementation, and small projects

  • Undertaking ad hoc duties such as Jury Bailiff Officer, Learning & Development Coordinator, or Health & Safety roles

Casework Processing

  • Processing court orders, claims, fines and fees, and legal aid documentation

  • Accurately updating and resulting court files

  • Working to workload targets for accuracy and throughput

Checking & Verifying

  • Checking documents, records, claims, accounts, and returns against procedures and regulations

  • Ensuring compliance and quality standards are met

  • Cross-checking and validating colleagues' work where required

Information Gathering & Reporting

  • Collecting and assembling information for reports, returns, statements, and warrants

  • Preparing bundles and chasing outstanding information

  • Supporting preparation and delivery of daily TIB meetings

Calculations & Financial Tasks

  • Producing basic statistical and financial reports

  • Reconciling accounts, preparing invoices, and updating records

  • Managing juror numbers efficiently

  • Spending limited sums on behalf of the office when required

Communication & Customer Service

  • Communicating effectively with the judiciary, magistracy, court staff, external agencies, and the public

  • Providing a helpful, prompt, and professional service

  • Offering guidance on court procedures and form completion
