Oversee the day-to-day operations of the organisation, ensuring all staff fulfil their primary responsibilities. Provide clear leadership and guidance to all staff, ensuring adherence to practice policies and procedures. Provide functional management of all salaried clinical and administrative staff. Ensure staff implement a consistent, practice-wide approach to the management of all patient services. Act as an instrumental member of the general practice team, contributing to strategic and operational decision-making. Manage recruitment processes, including advertising, interviews, pre-employment checks and induction training. Lead workforce planning and develop, implement and embed an effective succession plan. Oversee disciplinary and grievance processes, ensuring fair resolution and maintaining oversight of staff welfare. Ensure compliance with HR legislation and employment standards. Ensure all staff receive appropriate training to perform their roles effectively. Implement and maintain a comprehensive staff development plan and training record. Review and update job descriptions and person specifications regularly to ensure legal compliance and role clarity. Identify and deliver team training where required. Undertake all mandatory training and ensure staff do the same. Manage financial operations including budgets, bank accounts, accounting systems and petty cash. Work with the Partners to maximise income and reduce expenditure. Maintain effective liaison with the practice accountant, ensuring accurate year-end accounts. Ensure the organisation has appropriate insurance cover. Manage procurement of equipment, supplies and services. Manage external service contracts (e.g., cleaning, gardening, window cleaning). Support the management team in compiling practice reports and contributing to the practice development plan. Guide the team to achieve QOF targets, working closely with nursing and administrative leads. Develop, implement and embed an effective Business Continuity Plan. Implement systems to ensure compliance with Healthcare Inspectorate Wales (HIW) regulations and standards. Lead the management of the clinical system, ensuring compliance with the Data Protection Act 2018 and UK GDPR. Monitor and disseminate safety alerts and other relevant information. Ensure compliance with Welsh safeguarding legislation and practice policies for both adults and children. Manage the patient complaints process and ensure staff understand the complaints procedure. Maintain a clean, tidy and effective working environment. Oversee the response to and resolution of local IT issues. Promote and encourage the use of patient online services. Manage the premises, ensuring compliance with health and safety legislation. Undertake risk assessments, ensure staff awareness and deliver mandatory risk-management training. Ensure the practice environment is safe, well-maintained and fit for purpose. Maintain effective working relationships with external stakeholders, contractors and partner organisations including Swansea Bay University Health Board and Llwchwr Cluster.
