JOB DESCRIPTION
Job Title : Receptionist
Reports to : Fee-earners, Partners
Date :
1. Main purpose of the Role:
Professional and efficient managing of clients, visitors, telephone calls and messages, as well as a variety of duties that support consumer services, information and referral and the operation and presentation of a professional office.
2. Main duties and responsibilities:
• Promptly, accurately, professionally and courteously receives 100% of all telephone calls and visitors.
• Promptly, accurately, professionally and courteously assesses 100% of received calls / inquiries and directs and/or records and relays messages.
• Ensures knowledge of staff whereabouts.
• Ensures the reception station is staffed 100% of the time.
• Maintains knowledge of current postal regulations and services frequently used by the organisation.
• Prepares and processes 100% of outgoing mail and DX to include: accurate weighing; coding; sorting; affixing postage; properly addressing and preparing certified / overnight / return receipt mail.
• As directed, timely delivers mail to post office.
• Stamps, as applicable, delivered mail and sorts into appropriate pigeon holes.
• Signs for deliveries when necessary and notifies recipients.
• Ensures postage system is operational and keeps supervisor and accounts informed of postage needs.
• As needed, call franking machine provider to update postage balance and obtain updates to postage machine software.
• As needed, informs supervisor in advance as to supply needs and if office / kitchen appliances are not functioning properly.
• Maintains a through working knowledge of and adheres to organisation / project policies, regulations and procedures.
• Respect confidentiality in discussing work and client matters.
• As needed, assists with clerical tasks to include typing, filing, proof reading, maintenance of service logs and data entry.
• Exhibits genuine concern for participants and always conducts oneself appropriately and professionally.
• Referring clients requiring non-criminal legal advice to the Law Society and providing clients with the telephone number for the Law Society.
• Sending and receiving fax messages.
• Assists in other duties as needed and directed.
3. Other duties and tasks:
• Carrying out other appropriate duties as requested
• Screening clients prior to referring them onto solicitors for swears /certification of documents
• Preserving and promoting office security by ensuring own clients and potential clients gain entry to the office.
4. Decision making / Freedom to act:
• Decision should be made with the involvement of a fee-earner /partner.

• Well presented and friendly manner
