An exciting opportunity exists for a Wheelchair Service Administrator to join Camden & Islington Wheelchair Service on a 12 month fixed term contract.

We are looking for someone who is compassionate and kind, has a keen interest in delivering a great service within a dynamic team. The ideal candidate will have a good understanding of administrative tasks, excellent communication skills and a strong commitment to team working. Previous experience in wheelchair services is desirable.

The service is based in a modern building in Kentish Town, walking distance to many shops and transport links.

• To provide comprehensive, high quality administrative and clerical support within the Wheelchair Service.
• To be able to work as part of a team to enable the provision of a high quality wheelchair service.
• To provide support and advice to users of the service by telephone or in person as appropriate. To be sensitive to the needs of vulnerable people with disabilities.

• To be able to work in an almost paper-free environment with heavy use of IT by being a competent user of Microsoft Office 2010, be able to touch type in excess of 40 words per minute with high accuracy percentage.
• To maintain the Service’s database ensuring that the configuration of the system allows accurate statistics to be obtained, seeking support from the Business Manager when necessary.
• To register and update client notes, therapist and engineer diaries, checking that all relevant information is correct and that referrals are completed accurately. Ensure data is consistently entered accurately on the databases.
• To receive and process all referrals for patients and present to clinicians for prioritisation.
• To organise clients’ appointments and transport, and ensure that all clients have confirmed their attendance, or follow up as necessary. Arrange interpreters as required.
• To organise and process the ordering of office supplies and stationary. Chase delivery of stock/ equipment as required.
• To deal with telephone enquiries, taking action where necessary using initiative and specialist knowledge. Explain waiting list and clinic and home assessment procedures to clients.
• To deal with all mail / correspondence within the department including confidential correspondence such as complaints and reports.
• To undertake photocopying, circulation and distribution of documents, processing of correspondence and general clerical duties as required.
• To work as a team member to provide a shared approach to tasks within the department including the training of new and existing staff in the department procedures. To provide cover for other support staff during periods of sickness and annual leave.
• Attend appraisal, staff and supervision meetings as agreed with the line manager.
• To prioritise and organise workload with minimal supervision and in accordance with service policies and procedures. Identify where extra effort is required to ensure work is kept up to date.
• Maintain a tidy workstation to encourage a streamlined service.
• To comply with organisational and departmental policies / procedures and to be involved in reviewing and updating as appropriate.
• To undertake any other duties as commensurate with grade, as directed by the Business Manager or Clinical Lead.
