Duties:

  • Receive and process information regarding student absences by telephone and in person, from students, parents/guardians and from the College absence line system, and record absences on campus systems ensuring all appropriate staff are notified. 
  • Monitor students identified on the Urgent Attendance Alert Register at key points during the College Day via attendance reports and academic staff notifications. Make contact with parents/guardians/students as appropriate to ascertain the situation and log notes accordingly on student records, referring to Safeguarding staff as appropriate. 
  • Support teaching teams in pursuing persistent non-attendees, advising parents/guardians accordingly and referring to safeguarding/health & wellbeing staff where appropriate. 
  • Administer the absence text process on a daily basis to ensure that parents/guardians of students aged under 18 are sent a text message to notify them of students' absence/s. Field any associated queries from parents/guardians relating to any absence texts they have received and log as appropriate. 
  • Run and disseminate the 7 Day Absence report on a weekly basis. Highlight and log concerns via campus systems, liaise with staff. 
  • Support teaching teams in pursuing persistent non-attendees, advising parents/guardians accordingly and referring to safeguarding/health & wellbeing staff where appropriate. 
  • To amend register marks in-line with college Policy and Procedures. 
  • When required, support other members of the Student Services Team with the general day to day running of the Department. 
  • Carry out the student sign out process ensuring any student under the age 18 has parental/NOK consent and a record is made. 
  • Undertake any other duties that may be reasonably required, commensurate with the grade and scope of this post and agreed with the relevant line manager. This may include supporting College events which may be outside normal hours of work. 

Skills/Experience:

  • Experience of working in a school/college environment
  • To demonstrate experience of working in a customer service environment   and be committed to providing excellent customer service
  • Experience of accuracy and attention to detail in verbal and written communication
  • Good working knowledge of Microsoft IT packages
  • Two years' experience within an administrative role.
  • Working knowledge of online Google and Promonitor software.

Qualifications:

  • Minimum GCSE grade 4 / C in English & Maths or equivalent.
  • Relevant experience in an administrative role
  • Level 2 business administration qualification or equivalent.

  • Excellent organisational skills with the ability to work off your own initiative and take responsibility in decision making including prioritisation of task
  • To be well organised and be able to keep accurate records.
  • Excellent interpersonal and communication skills with the ability to develop effective working relationships with students, parents/carers.
  • Capacity to use IT systems to record and manage student interventions. 
  • Work with flexibility to meet need of students and the team including possibility of later hours
  • To handle multiple enquiries via telephone, email and in person.
