Job OverviewThe Soft Services Support role provides essential administrative, coordination, and compliance support to the team. This position ensures that all soft services—such as cleaning, catering, reception, and workplace services—are delivered efficiently, safely, and in alignment with GMP, EHS, and client standards.

The scope of activities is extensive and varied, focussed to support the soft servce management with updating Qualty SOPs and forms, completing DI documentation checks, support with covering FOH activitys and supporting the management of contractors.



Main Duties

Administrative & Coordination Support

-Completion of documentation of DI checks for GxP cleaning schedules.

-Maintain and update documentation, logs, and service records in line with pharma compliance requirements.

-Support daily coordination of soft services teams (cleaning, catering, reception, landscaping, pest control).

-Responsible for filing and archiving of GxP documentation

-Support soft services team members with eLearning requirements

-Support line manager to ensure that an effective and efficient service is delivered and maintained at all times and service levels are in line with the contractual Cl's, KPl's and PI's. Support in preparing reports, dashboards, and KPI summaries for internal and client review.

-Assist with scheduling meetings, preparing agendas, and recording minutes.

-Deputise for line manager when required

Compliance & Quality

-To be well practised in DI, ALCOA principles, Standard Operating Procedures.

-Ensure all soft services activities adhere to GMP, GDP, EHS, and site-specific SOPs.

-Support audit readiness by maintaining accurate, up‑to‑date documentation.

-Carry out independent gemba's and audits of standards and raise corrective / reactive tickets where needed

-Participate in internal audits, inspections, and corrective action tracking.

-Support the contract Management of key suppliers within GxP environment (Laundry, Pest Control and Nilfisk)

-Ensure contractor and vendor compliance with site access, training, and documentation requirements.

Customer Service & Stakeholder Engagement

-Support reception, visitor management, and meeting room services.

-Build a strong working relationship with both internal and external customers including sub-contractors to ensure that all services are delivered in a professional, timely and cost effective manner and seek ways for continuous improvement.

Systems & Data Management

-Support asset, inventory, and consumables tracking for soft services.



All works to be undertaken in accordance with statutory compliance and where applicable GSK' site rules/processes and procedures.

What we are looking forEssential

-Experience in facilities management, soft services, or administrative support.

-Strong organisational and multitasking skills.

-Excellent communication and customer service abilities.

-Proficiency with MS Office (Excel, Outlook, Word) and CAFM systems.

-Ability to work in a regulated environment with strict documentation standards.

Desirable

-Experience in a pharmaceutical, biotech, or GMP‑regulated environment.

-Knowledge of soft FM services (cleaning, catering, reception, landscaping, pest control).

-Understanding of EHS and compliance frameworks.

-Familiarity with procurement or vendor management processes.
