What skills and experience we're looking for
This is strategic operational role. The successful candidate acts as the gatekeeper of the school day,ensuring that despite staff absences, the pupil's education continues without disruption. Thisposition combines logistics, administration, and human resources. It requires a specific set ofskills to handle the morning rush (dealing with sickness) and the planning (timetables) along withany other adhoc administrative tasks to support SLT and the main school office team.
Essential Qualities
• Strong computer literacy with sound knowledge of Microsoft Excel and Word.
• Good telephone manner and professional communication skills.
• Ability to work well under pressure and meet strict deadlines.
• Excellent interpersonal skills to foster positive relationships with staff and parents.
• Organised, detail-oriented, and proactive in problem-solving.
• Knowledge of SIMS (School Information Management System).
Desirable Qualities
• Previous experience working in a school environment.
• Understanding of school operations and staff deployment.
• Ability to adapt quickly to changing circumstances.

Purpose of the Role
To provide efficient and effective administrative support in the organisation of staff cover, timetables, and pupil support. The role ensures smooth day-to-day operations by coordinating staff absences, managing schedules, and supporting communication between staff, pupils, and parents.
Key Responsibilities
• Staff Cover Management
• Organise cover for staff during sickness absences, additional PPA, school trips, and residential visits.
• Maintain accurate records of staff absences and cover arrangements.
• Liaise with supply agencies if required.
• Timetable Coordination
• Create and update individual pupil timetables.
• Prepare and manage teaching assistant timetables.
• Ensure timetables are communicated clearly to staff and pupils.
• Administrative Duties
• General filing, record keeping, and administrative tasks as required.
• Maintain accurate data using SIMS and other school systems.
• Support senior leaders with reports and documentation.
• Communication & Support
• Act as the first point of contact for staff queries regarding cover and timetables.
• Handle telephone calls professionally and courteously.
• Signpost staff to appropriate support when ill.
• Direct parents to the relevant staff member or external agency for assistance.
• Interpersonal & Professional Engagement
• Build knowledge of staff strengths and working relationships to allocate cover effectively.
• Be prepared to have difficult conversations with staff regarding cover and responsibilities.
• Work collaboratively with colleagues across the school
