1. Overall Purpose of the Role 1.1 You will be responsible for preparing monthly management account reports, commentaries and financial statement analysis and providing support to budget holders on management accounting principles. 1.2 You will be responsible for supporting the Senior Management Team (SMT) in the preparation of the annual budgets whilst assisting budget holders in financial responsibilities, including budget setting, forecasting, variances, and costings. 1.3 You will support and assist other members of the finance team in a range of financial compliance, reporting and analysis work. 2. Main Tasks The following Management accountant/budget tasks will be split between the two management accountants proportional to their working pattern. MANAGEMENT ACCOUNTS Charity, Retail, Lottery & CHSW Promotions 2.1 Preparation of month end journals - prepayments, accruals, Income received in advance (IRIA), etc 2.2 Variance analysis payroll & non-pay 2.3 Undertaking legacy & investment accounting and analysis 2.4 Fixed asset accounting, including restricted funding, and maintenance of fixed asset register 2.5 Restricted/designated fund administration and accounting 2.6 Set up new specific restricted funds in conjunction with fundraisers & database administrators with supporting documentation 2.7 Take lead role in interdepartmental working group on restricted funding handles (fundles) with fundraisers and care teams. Develop & maintain fundles recording system and processes. Including supporting trusts and grants with funding applications and reporting. 2.8 Compilation of narrative to support the management accounts 2.9 Production and distribution of Executive Management Accounts Reporting (EMAR) pack within specified deadline 2.10 Timely completion of monthly Key Performance Indicator (KPI) reporting, monthly finance reports and performance workbooks 2.11 Working alongside relevant SMT member, to take the lead in the development of performance reporting 2.12 Development and completion of other adhoc strategic reports /trend analysis to SMT in line with areas of responsibility 2.13 Develop key relationships and regularly meet with budget holders: providing guidance, assisting understanding of reports and developing bespoke and informative reporting. Attend SMT/Retail Management Team (RMT) & other team meetings as required 2.14 Oversee the monthly import and reconciliation of the fundraising voluntary income database to the financial software 2.15 Management and maintenance of the integration to the financial software of the Electronic Point of Sale (EPOS) and voluntary income database 2.16 To work with the system accountant to oversee the creation of project/nominal/cost codes and all related processes in all areas of the finance systems 2.17 To work with the system accountant complete Balance sheet reconciliations (including lottery deferred income) at each month end & to ensure that monthly processes are efficient and fit for purpose. 2.18 Maintain up to date and accurate systems notes for all areas of the role. BUDGETS Charity, Retail, Lottery & CHSW Promotions 2.19 Working with budget holders in the generation and phasing of annual budgets 2.20 Oversee the budget process including consolidation and variation as required 2.21 Timely reporting of the budgets to SMT 2.22 Loading charity budgets to accounting software 2.23 Generation of yearly reforecast for SMT 3. Other tasks 3.1 Completion of Office for National Statistics returns 3.2 Completion of quarterly VAT returns 3.3 Assist Head of Finance in the preparation of the annual statutory accounts and provide analysis and reconciliations as required in your areas of responsibility 3.4 To support the finance team in their tasks and to provide any additional financial reporting/analysis/research required and as directed by the Head of Finance 3.5 To act up as Head of Finance in day to day operational finance -related matters on day when the permanent Head of Finance is not working 3.6 To provide sickness and holiday cover for Head of Finance in finance-related matters 3.7 To provide sickness, holiday and absence cover for the other Management Accountant 4. To be familiar with your role and responsibility around safeguarding children and to ensure that you have completed training at a level commensurate with your role. 4.5 To be aware of the responsibilities placed on you under the Health and Safety at Work Act (1974) and any subsequent relevant legislation and follow these in full at all times ensuring that they act in line with all agreed procedures at all times in order to maintain a safe environment and identification of potential risks for all employees, children, families and visitors, taking action as and when required. 4.6 To regularly update and maintain your knowledge of safety rules; fire drills; internal security; and accident procedures and adhere to these at all times. To be aware of the safety needs of children, siblings, parents and other staff and adopt a preventative safety approach at all times. Report all accidents and incidents accurately and promptly to the appropriate responsible person. 4.7 To maintain confidentiality of information about clients, children, families, staff, and other CHSW business and at all times, meet the requirements of the Data Protection Act (1998), as well as comply with all CHSW Information Governance and Data Protection policies. 4.8 Maintain personal and professional development to meet the changing demands of the job, participate in an annual appraisal and appropriate training activities, encourage and support staff development and training. To complete mandatory training. 4.9 To ensure that statutory professional updating and revalidation requirements are maintained and proof of renewed registration when this is due. 4.10 To work within infection control guidelines to ensure that work methods do not constitute a risk of infection to other work colleagues, children, families, or to any persons working/visiting in CHSW premises. 4.11 Take responsibility for your own emotional well-being; taking steps to maintain a balance between work and home life; and to be aware of the importance of maintaining professional boundaries. 4.12 To be aware of the need to use the resources of CHSW wisely and effectively to meet the needs of children, their families and supporters, whilst maintaining a cost-conscious approach to avoid a wasteful use of funds and with consideration for the environment. 5. Working Arrangements Normal working hours are 9.00am to 5.00pm Monday to Thursday, 9.00am to 4.30pm on Friday with 30 minutes to be taken for lunch between 12.00 2pm or at a time convenient to CHSW. This is subject to any part-time hours and/or flexible working arrangements. You may be asked to work additional hours as necessary which will include unsocial hours outside the above times for which TOIL will normally be given, rather than payment.
