What we are offering
Job title: Practice Administrator
Duration: Fixed-term (12 months) maternity cover
Reporting to: Practice Manager
Location: Leicester or Nottingham office with some home working (max 50%) and travel to other offices
Hours: 37.5 hours per week, with core hours between 10am - 4pm
Salary: £25,864 - £27,682
Key Responsibilities
- Provide support to project teams (document control, issuing drawings, invoicing, project records)
- Work closely with the Practice Manager, other Practice Administrators and the wider Operations Team to share best practice
- Act as a first point of contact for visitors
- Answer and direct phone calls including dealing with project queries where appropriate
- Maintaining a good working knowledge of projects within teams by working closely with Studio Leaders
- Following procedure to set up new project records accurately
- Organise and schedule meetings and events
- Book training and travel arrangements on behalf of other staff
- Ensure office standards are implemented, audited and supported; provide QA oversight for document naming, systems and procedures
- Handle sensitive information in a confidential manner
- Maintaining stocks of supplies
- Maintain studio standards of tidiness and standards of H&S within the office
What we’re looking for
- Confident communicator with excellent written & spoken English
- Proven administrative experience
- Strong organisation, time management and attention to detail
- Reliable, proactive and keen to learn
- Able to work well independently and as part of a team
- Proficiency in office software (eg Google Workspace, Zoom, Slack, MS Office)
