Being the go-to person for our team, you’ll be super organised and assisting with a variety of tasks, from supporting reception duties to finance, invoices and payments as well as responding to email/phone calls.

Main Responsibilities - § To ensure the safe and secure storage of equipment and stock, including but not limited to furniture, catering equipment, cutlery, crockery, glassware and audio-visual equipment.
- § To ensure that all areas of the facility are maintained to an exceptional standard of cleanliness and appearance, with function suites and back of house areas cleared down following use and assisting with the cleaning of furniture and upholstery as required.
- § Supervise contracted and casual Meetings & Events Porters in the execution of their duties, leading by example and ensuring maximum productivity, providing any necessary on the job training and identifying any developmental among the team to help improve the overall performance of the department.
- § Setting of all function suites and match day hospitality areas as per event sheet and providing all necessary mis en place in the most efficient and productive way setting as far ahead as is practicable.
- § Review business event sheets thoroughly to ensure all functions are suitably prepared for, that any special requests such as dancefloors or AV equipment are met and any opportunities for enhanced customer service and sales are seized.
- § Accept all deliveries in a safe and timely manner ensuring that all relevant paperwork is completed in line with company procedure.
- § Ensure safe storage and transportation of all internal and external deliveries in line with company procedure.
- § Assist in the polishing and preparation of cutlery, crockery and glassware as required in line with business demands.
- § Assist with transportation and storage of cellar related deliveries as required in line with business demands.
- § Ensure that all cleaning is conducted using the appropriate chemical agents and is only conducted by those that have been trained to complete these activities safely.
- § Operate any relevant machinery as needed in accordance with completed training and manufacturer instructions.
- § Safe disposal of all waste produced during setup or cleardown in accordance with Sodexo’s site-specific Waste Management guidelines.
- § Ensure that all corridors, working areas and fire exits and kept clear of all back of house equipment in accordance with all Sodexo fire related Health & Safety guidelines and Safe Systems of Work.
- § Report any accidents, near misses and defective equipment upon discovery and in accordance with company policy ensuring that where possible hazardous situations are addressed immediately, or equipment is removed from circulation.
- § Always ensure the security of all back of house and front of house areas by managing the security of keys, equipment and materials throughout the catering facility.
- § To ensure that all work is carried out in a safe and manner, in accordance with all Sodexo company policies including the need to wear all role and task specific PPE as required.
- § To attend all meetings and training as required including all mandatory Health & Safety as well as any ad-hoc company briefings.
- § To consistently show a proactive and flexible approach in all areas of work, including assisting other departments as and when required which includes but is not limited to assisting the cellar team and working front of house, as well as completing any reasonable request from Operations Manager or other upline managers.
- § To comply with all Sodexo personnel related company policies including but not limited to grooming and hygiene standards, social media policies and time keeping and attendance.
- § To fulfil role as Duty Manager, supervise conference and events as required in line with business demand.
- § To be flexible in your approach to working within all departments within the operation, always working to the best of your ability.
- § To ensure that customer requirements and satisfaction are met throughout the day and good customer relations always prevail.
- § To be aware constantly of amendments to events, accommodating changes as necessary.
- § To record utensil and equipment levels via stocktakes, ensuring a sufficient supply of tables, chairs, linen, crockery, cutlery and glass ware for busy periods.
- § To ensure all staff within your department are in full and correct uniform including all role specific PPE.
- § Demonstrating high leadership skills therefore providing the basis for high group morale and motivation.
- § To ensure that all work is carried out in safe, professional and non-hazardous manner, in accordance with company Risk Assessments and Safe Systems of Work and to report any defects to equipment or unsafe practices to your line manager.
- § To be aware of all fire and evacuation procedures and strictly adhered to these in the event of the fire alarms being activated.
- § Seeking to maintain good relations with staff and between departments.
- § Promoting Sodexo and Newcastle United in a positive manner to the public at all times.
- § Reporting all defects of equipment, damage to furnishings and any incidents involving theft of hazard to management and removing any broken equipment from circulation as necessary.
- § To complete any reasonable request from the Senior Managers whilst being adaptable to changes.
- § Comply with all company Terms & Conditions including grooming and social media policies.
- § Assisting within other departments as required, such as within functions during busy periods, and being equipped with the necessary uniform to do this.
- § Assist with equipment stocktakes and electrical checks, completing the relevant paperwork to document this.
- § Undertaking cleaning duties as specified on work schedules in accordance with operating procedures
- § Ensuring strict adherence to manufacturer’s instructions regarding the use of chemical agents and their application
- § Comply fully with COSHH regulations.
- § To be willing to assist/move to other areas of the business to further develop skills or meet the demands of the business
- § To ensure standards of hygiene within your working area and working practices conform to company standards.
- § Ensure that property that is left is securely stored until such time as collected.
- § To manage the installation and de-rig of the pole and drape kit as necessary.
- § To manage the setup and derigging of on-site AV equipment.
- § To manage the ordering of AV equipment from external suppliers as necessary.
- § To complete AV stocktakes and electrical checks.
- § To liaise with the meetings and events sales team regarding AV requirements and logistics for future bookings, ensuring that professional working relations and customer satisfaction always prevail.
- § To provide AV suggestions and recommendations for guest events, and actively drive on the day upselling, ensuring all opportunities for sales are seized and backed up with the necessary paperwork.
- § To assist in the creation of any related training material and user guides, for use by other staff members.

The Ideal CandidateEssential: - Experience of supervising in a large operation with high volume meetings and events business.
- Excellent communication and leadership skills essential, providing the ability giving the ability to recruit, train, manage and motivate the workforce.
- Ability to maintain professional relationships with diverse range of suppliers, team members and guests essential.
- Knowledge and understanding of the wider market trends and the ability to work closely with colleagues in order to fulfil client needs.
Desirable: - Experience working within a sports and leisure/stadia.
- IOSH Managing Safely qualification or equivalent.
