About the Role
As Executive Assistant, you'll play a pivotal role in supporting our Group Managing Director and Senior Leadership team. This is a varied and fast-paced position where no two days are the same.
Key Responsibilities:
- Managing diaries, organising meetings, and handling general administration.
- Screening calls, emails, and enquiries, responding where appropriate.
- Preparing correspondence and liaising with customers on behalf of the Group Managing Director.
- Coordinating monthly meetings, including agendas, room bookings, catering and welcoming visitors.
- Tracking outstanding actions for the Group Managing Director and arranging follow-up meetings with senior leaders.
- Planning and delivering events such as our annual employee awards (c.120 attendees), corporate hospitality and other offsite activities, ensuring exceptional experiences for attendees.
- Producing high-quality documents, reports, and presentations for the Management Board.
- Attending meetings to take minutes and circulate actions.
- Managing email and correspondence related to organisational activities.
- Supporting the Group Managing Director in creating important communications and representing the company on social media and monitoring engagement.
- Maintaining accurate customer records and supporting communications for the Executive Team.
- Booking travel (flights, trains, hotels) and managing sponsorship/charity engagements.
- Assisting with special projects and initiatives as required.
- Identifying opportunities to improve processes and enhance efficiency.
Required Experience:
- A confident professional with experience supporting senior leaders and managing upwards when needed.
- Strong relationship-building skills and the ability to collaborate effectively at all levels.
- Handle sensitive information and executive-level communications with the highest degree of confidentiality, integrity, and professionalism.
- Highly organised, adaptable, and resilient under pressure, with excellent accuracy.
- Outstanding communication skills, both written and verbal, and the ability to handle confidential information discreetly.
- Proactive and solutions-focused, with strong decision-making skills.
- Proficiency in Microsoft Excel, Word, and PowerPoint.
- Experience in event planning and delivering exceptional experiences.
- A UK driving licence (travel to other sites required).
- Professional presence and ability to represent the company positively in all interactions.
