About The Role
Receptionist - Birchwood School – Cardiff
Full-Time - 37.5 hours per week - Permanent - Term Time Only - £20,021.63 per annum

Are you friendly, organised, and passionate about creating a welcoming first impression? Birchwood School is looking for a confident and approachable Receptionist to be the face of our school and provide exceptional front-of-house support.

At Orbis Education and Care, we support children and young people with Autism and complex needs to learn, grow, and thrive. As our Receptionist, you’ll play a key role in ensuring pupils, families, staff, and visitors feel supported from the moment they arrive.

Your Role as a Receptionist
This is a busy and varied role perfect for someone who enjoys being at the centre of school life. Your responsibilities will include:
Front of House Duties

- Welcoming pupils, staff, visitors, and professionals with warmth and professionalism
- Managing the school’s reception area to ensure it is tidy, safe, and well-presented
- Handling incoming calls, emails, and enquiries, directing them to the right people

Administrative Support

- Assisting with general admin tasks such as filing, data entry, photocopying, and maintaining school records
- Supporting the Senior Leadership Team and wider staff with day-to-day administrative tasks
- Helping to prepare documents, letters, and basic reports

Safety & School Operations

- Managing the visitor sign-in process and ensuring safeguarding protocols are followed
- Reporting maintenance issues or concerns to the School Caretaker
- Supporting the implementation of Health & Safety and fire safety procedures

Communication & Teamwork

- Liaising with parents, external agencies, and Head Office in a friendly and professional manner
- Supporting the smooth running of the school through strong communication and reliability
- Being a positive, calm, and helpful presence throughout the day

This role is ideal for someone who thrives in a people-focused position and takes pride in providing excellent customer service.

What We’re Looking For
Essential:

- Strong customer service or reception experience
- Excellent communication and interpersonal skills
- Confident using Microsoft Office and basic digital systems
- A friendly, welcoming manner and professional attitude
- Strong organisation skills and the ability to work under pressure

Desirable:

- Experience in a school or education setting
- Understanding of safeguarding and GDPR
- A qualification in customer service or administration
