Equans is looking for a Facilities Coordinator to join our team on the Knowsley Schools contract, based in Speke, Liverpool on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a salary banding of £28,000 - £32,000 per annum and benefits package. We are seeking a proactive individual to provide comprehensive support to the Technical Manager and Contract Management team, handling all contractual procedures and essential administrative tasks. The role involves ensuring strict compliance with organisational standards across Planned Maintenance, Health & Safety, Service Delivery, Quality, Finance, Purchasing, and HR. Effective collaboration with staff, clients, and external contractors is a key part of this position. What will you deliver? Maintain accurate and compliant maintenance records for statutory and implied statutory activities, working closely with the Technical Services Manager and Facilities Managers.Ensure all completed Planned Maintenance worksheets are received and filed on the shared drive, chasing sub-contractors where required for reports to evidence timely completion. Manage Statutory Compliance and Corrective Works tracker to ensure accurate data is always held. Run and issue PPM’s monthly and assign all to correct resource.Players with subcontractors to book maintenance at all schools with attendance agreed to avoid operational impact.Produce routine reports / presentations / statistical data for management team to assist with effective management of contract.Support the team in maintaining training matrices / records.Update internal portal such as purchasing cards, holidays, sickness etc.Maintain supplier matrices and the associated documentation.Update and maintain DBS tracker.On an ad hoc basis create / update Work Orders And Purchase Orders on Maximo to reflect the latest status and information available.On an ad-hoc basis assist with secretarial support for the provision of documents to include minute taking, reports dealing with confidential documents etc in an efficient and effective manner.Understand and meet customer requirements, delivering consistently high service levels and utilising feedback to improve service.Provide administrative cover to other parts of the service during times of holiday or absence.Undertake training where necessary to maintain and develop the requirements of the service.Any other duties that may be required to facilitate the efficient operation of the contract. Previous experience as a Facilities Coordinator is desired.Sound understanding of Statutory Compliance, H&S, Environment and QA procedures.Previous experience in multi-site PFI Facilities Maintenance environment is desirable.Previous operational experience of working on a CAFM system (preferably Maximo).IT literate with an excellent knowledge of Microsoft office 365 applications and information management systems. Excellent communication skills both written and verbal.Ability to work effectively as part of a team and own initiative.Experience of working in a customer service environment.Strong organisational skills with the ability to prioritise demanding workloads ensuring deadlines are met. This role includes an Enhanced DBS with Barred Lists check therefore ability to pass is essential. Who are we?
