FACILITIES COORDINATOR
Salary: £28,000 per annum (pro rata)
Working Hours: Fixed Term Contract for 9 months (Maternity Cover), Full Time, 40 hours per week, Mon - Fri from 8am until 4:30pm
Location: Royal Wootton Bassett School, SN4 7HG
An exciting opportunity awaits for a Facilities Manager at Royal Wootton Bassett School in North Wiltshire. This full-time role working 40 hours per week, Monday to Friday covering maternity leave.
The Facilities Coordinator is required to provide administrative support to the COM, North Wiltshire Schools, responsible for coordinating HR and H&S processes across the contract. The role involves elements of office management and assisting in providing support to operational staff. Throughout, due emphasis is to be given to the importance of health, safety and the environment, promoting the G4S values and effective communication.
Main Duties & Responsibilities will include:
HR
To administer recruitment and selection including and not limited to:
ATR completion / and agency liaison where applicable
Arranging interview/liaising with applicants
Confirmation letters of outcome of interviews
Inductions
Issue of contract after probationary period
Provide new starter details to Finance admin/HR Shared Services, ensuring contracts are issued
DBS & Vetting plus periodic renewals
Liaising with the regional HR advisor as applicable
Remind Management team of periodic reviews during probationary period
Compilation of monthly and Annual WHEP reports
Responsible for training matrix, sourcing of training and its arrangement and Employee
Development Review (EDR) administration.
Health & Safety
To assist the COM in the provision of statistical Information, relating to Health & Safety/accident reports
H&S meeting Coordinator
General administrative support including compilation of letters, development and management of the filing system, booking of meetings, compilation of minutes and general office duties, liaising with the regional HR advisor as applicable
To carry out Health and Safety responsibilities as per G4S corporate Part B responsibilities document complying with the HASWA 1974
To act as COSHH Coordinator, Risk & COSHH Assessment Champion relating to Soft Services
General
Paymech –Preparation of any unavailability and performance shortfall for COM verification.
To provide cover for the Financial Administrator or Hard Services Administrator during holidays and sickness
To operate within and maintain the standards of service and security required at the contract.
Maintain an efficient support service to the COM , Hard Services Manager and operational teams completing all administrative tasks to deadline and to the prescribed standards

Experience & Skills
Sound knowledge of IT systems (e.g., Microsoft Office/Google Suite).
Demonstrated minute-taking ability.
Experience working effectively with people at all levels of an organization.
Highly organised with a strong ability to prioritise.
Reliable and conscientious, with a keen eye for detail
Sound problem-solving abilities.
Knowledge of Paymech Administration procedures.
Understanding of COSHH (Control of Substances Hazardous to Health) regulations
