Role: Workplace Manager

Hours: 40 hours per week - Monday to Friday

Shift Time: 08:00-17:00, 09:00 - 18:00 flexibility required to meet the needs of the business

Working as part of a 5* Mitie team, you will be the face of the workspace by delivering a first-class service throughout the facility. Ensuring all customer requests and site activities are carried out efficiently and effectively whilst providing an exceptional customer experience for all whom reside or visit the London Corporate office consistently delivering operational activity of the highest standard.

-Ownership and oversight of floor and Front of House activities, ensuring reception operations run smoothly with consideration for GDPR guidelines including the redirection of all mail received.

-Support and carry out event setup and resets, offering guidance and suggested layouts in line with business needs and available resources.

-Ensuring all meeting room services are delivered to the highest standards, and sufficient to the needs of the users.

-Build and establish a customer service focused relationship with end user occupant and be responsive to client needs in a friendly, professional, and timely manner, embodying the customer first mentality.

-Consistently drive performance and introduce best in class working practices.

-Effective and supportive line management of Front of House, Cleaning and Mailroom duties on site.

-Champion safe working; Identify and escalate Health & Safety issues across the building.

Business support

-Perform daily checks to proactively identify and address issues across the site. Throughout the day, monitor general upkeep and tidiness of the floors to the highest standard, escalating issues to relevant service lines for resolution.

-Scheduling and overseeing all building maintenance, handling urgent repairs requests and ensuring equipment and systems are in good working order

-Vendor Management - Building and maintaining relationships with external vendors and contractors for services like landscaping, cleaning and repairs

-Leading and motivating the team to ensure that they perform their roles to high standard

-Proactively manage raised jobs and escalate outstanding issues to expedite resolution for end-to-end service, ensuring full communication between clients and service lines.

-Support and co-ordinate event management, and any client gatherings where assistance is

-required - to include setup & takedown of townhall space in a timely manner.

-Proactive ownership and management of the coffee machines onsite to include cleaning, stock check and refill as required (to include cups/stirrers/condiments/napkins/refill stock/milk) etc.

-Cover of FOH as required - ensuring all other business requirements are not impacted as a result.

-Work flexibly to carry out ad-hoc projects and audits as requested. Projects and audit are taken on in consideration of operational availability and timeframes.

-Work flexibly to support out of hour requests and extended hours to self-cover operations and furniture set ups.

-Management of incoming and outgoing post.

-Liaise with Facilities Management and each service line to support best practice and report client feedback for continuous improvement.

-Attend regular meetings with Support Service Manager and service line leads as required, to discuss ongoing issues, best practice, service line areas of responsibility and processes.

-Liaise with FOH to ensure meeting room bookings are being managed in a timely manner and support where required.

-Deliver adhoc 1st response AV support on request and escalate where appropriate.

Required skills & knowledge:

-Excellent customer service skills and strong communication, both written and verbal, with the ability to interact confidently with colleagues and clients.

-Ability to build positive relations with colleagues, guests and clients

-A clear understanding of Health & Safety practices, IOSH certified

-Computer literate (Word, Excel, Outlook E-mail)

-To work efficiently and effectively in a team as well as individually

-Able to work off their own initiative and with minimal direction

-Organised, capable of managing and prioritising multiple workflow requirements

-An understanding of Audio Visual and IT systems and the ability to explain this accurately

-Comfortable with physical work, lifting and manoeuvring heavy furniture on a daily basis.
