Summary
· To manage the administrative aspects of the Colposcopy Service across the Trust and the small team of administrative staff employed within it. Ensure a comprehensive and user-friendly service is delivered, which meets the recognised national standards for colposcopy.
· The post holder will have particular responsibility for ensuring that complete and accurate patient activity data is collected and entered on to the Colposcopy Database System and that reports are produced in a timely manner.
· Post Holder will lead on identifying suitable capacity when required and will have an up to date overview of capacity requirements. This will involve speaking to the relevant consultants to instigate service requirement and initiate capacity.
Main Duties/Key Results Areas:
To be administrative lead for the Colposcopy Service within the Trust.
To act as point of contact for GP’s and consultants referring patients into the department ensuring that appointments are offered promptly and within the time limit as defined by the National Colposcopy Standards.
Ensure results and any subsequent further appointment is issued in a timely and appropriate manner.
To lead on and initiate actions to address any adverse trends in colposcopy waiting time and capacity, in regards to Trust and targets.
To be responsible for maintaining the Trusts Colposcopy Database System, implementing system changes in partnership with the I.T. Department and the system manufacturers.
To produce quarterly reports on patient activity statistics for the Trust and quarterly reports for commissioners of the service and to provide reports as and when required for national bodies including the Royal College of Obstetrics and Gynaecology and the National Audit Office.
Design reports and audits to monitor key performance indicators and present these to the department.
To be responsible for the co-ordination of data collection for medical and nursing staff undertaking Clinical Audits in Colposcopy.
ToTo co-ordinate and minute-take at Multi-disciplinary team meetings.
Attend local, regional and national meetings, study days and training courses as required and feedback issues relevant to other staff within the service.

To ensure that office administration and computer systems are maintained in order that maximum efficiency is achieved, and that necessary audit checks and controls are incorporated in the system in accordance with Quality Assurance guidelines.
To work closely with external organisations to promote and maintain a positive image of the service among all users of the service.
To provide operational support at service level and to work closely with external organisations to ensure good practice of creating, promoting and maintaining a favourable image among all users of the service.
To assist the Clinical Lead for Colposcopy and the Nurse Colposcopist in planning future service developments or changes.
To co-ordinate and minute-take at Multi-disciplinary team meetings.
Attend local, regional and national meetings, study days and training courses as required and feedback issues relevant to other staff within the service.
To support on the investigation of complaints in relation to the service and implement changes required as a result of complaints in accordance with Trust Policies.
Regularly review procedures, systems and administrative staffing to reflect long-term aims in the delivery of the service.
To independently co-ordinate the direct referral system, highlighting potential issues where necessary.
To provide and receive complex and sensitive information in relation to invasive cancer cases, ensuring the appropriate clinical pathway is facilitated.
To communicate various aspects of the service to patients, explaining procedures and providing reassurance.
To be responsible for ensuring new colposcopy staffs, including medical staff are trained in the colposcopy IT systems.
To assist Nurses / HBPC to complete Invasive Cancer audit and administration requirements
Develop specialist knowledge relevant to colposcopy to aid with the filtering of enquires.
To lead in collating, verifying and submitting KC65 data for the Department of Health on a quarterly basis, working with the lead colposcopist to resolve any inconsistencies.
To lead on compiling administrative evidence for Quality Assurance visits.
Develop and implement internal procedures in order to adhere to national guidelines.
Design reports to monitor key performance indicators and present these to the department.
To be responsible for the operation of the failsafe system within the department, according to the failsafe policies and national guidelines.
To support the organisation of colposcopy departmental meetings including provision of the agenda, taking minutes and providing appropriate documentation for action/review.
Able to work with minimal supervision, deciding when to seek support/advice.
To provide line management to a team of administrative and secretarial team, ensuring effective deployment of staff to enable the delivery of an efficient service.
