Executive Assistant to the Dean – USBS
An exciting opportunity to broaden your horizons and learn skills in a successful environment.
INTRODUCTION
Are you looking for a varied and rewarding role within a supportive environment where you can demonstrate your outstanding people and organisational skills.
We have an exciting permanent position within the University of Southampton Business School (USBS).
ABOUT US
USBS is a dynamic, research-intensive business school within a Top 100 global university and a proud Russell Group member and home to a diverse community of staff, students, and global partners.
This role is based within the Faculty Operating Service (FOS) within the administrative support team within USBS. Working closely with school leadership the FOS support education, research, and enterprise activities. You will join a supportive and friendly FOS team who are motivated, enthusiastic, and proactive team players who operate as ‘one-team’ to provide a flexible and responsive service to our academic community.
ABOUT THE ROLE
You will provide professional operational assistance, including complex diary management and confidential, high-level administrative support to the Dean of USBS and, by association, other senior members of staff in the school. This will include a range of responsibilities, involving working on projects, travel arrangements, senior-level minute taking, financial administration, diary management and organising group meetings. You will also provide line management to a small administrative team providing operational direction, development and support.
This role is hybrid. Successful candidates will be able to work flexibly and remotely and will be expected to spend at least 60% of their contracted hours working on campus. Flexibility will be required should the business need require a greater on-site presence.
Upon appointment the job title will be Senior Administrator.
ABOUT YOU
You are a motivated professional whose career includes administrative work experience which allows you to use your own initiative, as well as manage your time effectively with minimal supervision. You will be able to support and motivate your team or have the personal attributes to develop into a leadership role and act as a role model for your team. You will be adaptable, flexible, proactive and a strong team player who is culturally sensitive. You will have strong interpersonal skills and a positive and enthusiastic approach. You will be able to build strong relationships with internal and external organisations and groups and liaise confidently with your stakeholders. You will have excellent organisational skills, attention to detail, with the ability to prioritise your workload to meet conflicting deadlines. You will have strong IT skills, particularly in the use of Microsoft Office and similar software.
WHAT WE CAN OFFER YOU
As a university we aim to create an environment where everyone can thrive and are proactive in fostering a culture of inclusion, respect, and equality of opportunity. We believe that we can only truly meet our objectives if we are reflective of society, so we are passionate about creating a working environment in which you are free to bring your whole self to work. We welcome applications from candidates who are committed to helping us create an inclusive work environment. We encourage applications from candidates from Black, Asian and Minority Ethnic communities, people who identify as LGBTQ+; and people with disabilities.
As well as additional benefits that will make your life easier, such as a generous holiday allowance and additional university closure days. We will support your long-term future too, with pension scheme membership, subsidised health and fitness facilities and a range of discounts. Our excellent family leave arrangements include maternity, paternity, adoption and parental.
