Job Title - Team Administrator Responsible to - Operations Manager Job Purpose - Assist the Operations Manager to ensure the efficient day-to-day running of the office and support the work of the Management and wider team. This role includes the following duties and responsibilities: Constituent facing Answer general phone & email enquiries using a professional and courteous manner Direct enquiries to the appropriate staff members Reply to requests with accurate information Greet visitors to the organisation in a professional and friendly manner Support organisation and catering requirements for a range of meetings Office administration Provide administrative support to the LMC Team Assist with maintaining and managing the diaries of the Management Team to ensure coordination of commitments and assist in prioritising workload Use IT software to prepare reports, emails and documents Effectively maintain and utilise the LMCs internal IT systems Purchase / order office supplies Make travel, meeting and other arrangements for staff Photocopy, scan and print documents Assist with the development and maintenance of the LMC website Follow process to update and maintain the LMCs database Assist with financial management Prepare invoices Check and record payments received Check invoices received and process for payment Provide general finance processing support Events Make bookings and other necessary arrangements for meetings and events Assist in the planning and promotion of LMC events Process event bookings Attend events to ensure they are set up and run smoothly including our annual flagship event on a Saturday in June. Meetings and Committees Assist with preparing agendas and meeting papers Take effective minutes of meetings and co-ordinate their distribution Ensure actions from meetings are passed on to the relevant person to ensure that they are appropriately progressed Support with the committee election cycle Confidentiality Maintain the highest standards of confidentiality in all aspects of your work Other Duties This job description provides an outline of the main responsibilities associated with the role but is not exhaustive.
