Key Responsibilities The following are the core responsibilities of the Receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels: 1. Acting as a first point of contact the post holder will provide a polite courteous welcome to visitors and callers to the surgery. 2. Establish close working relationships with all members of the team, professional and administrative. 3. Ensure the front desk and office are administered efficiently. 4. Understand the need for discretion and confidentiality relating to patients and staff. 5. Assist in the maintenance of an environment that facilitates the work of the practice. 6. Cover for colleagues in their absence. 7. Assist in the training of other receptionists Daily Responsibilities Front Desk Reception Opening and closing of premises (if applicable). Receive all telephone calls taking messages, action as appropriate. Deal with incoming and outgoing communications in accordance with practice policies and procedures. Manage and maintain EMIS patient appointments. Book patients into the surgery and deal with enquiries in a polite, professional and courteous manner. Note any discrepancies so that patients may be dealt with concerning registration upon arrival at the surgery. Handle general enquiries, explaining practice procedures, making new and follow-up appointments. Answering the telephone, dealing with requests and enquiries courteously and politely. Contacting hospitals and various other agencies for results, appointments, booking, referrals, and patient information as required. Making appointments: offering and arranging the appointments for doctors. Providing support and ensure training for current and new staff is carried out. Support practice admin team in developing and maintaining effective call and recall systems for patient services and reviews. General Duties Record requests and details for home visits. Maintaining supplies of stationery available in reception area. Ensure printers fully replenished with paper each morning. Keep the front desk and other areas of the office tidy and administrative systems to ensure that they reflect the current position. Ensure that essential systems and filing are maintained. Undertake data entry to the patient files as necessary. Participate in all aspects of administrative tasks necessary to the smooth running of the practice. Respond to the emergency call signal in accordance with surgery policy and procedures. Always maintain a high standard of confidentiality. Maintain a safe working environment in accordance with Health and Safety at work. Leave the reception area tidy and ready for incoming colleagues, together with information regarding unresolved or urgent problems. Work on own initiative in organising the daily routine. Deal with samples according to surgery policies and procedures. Actively participate in training as required. Actively participate in annual appraisal. Accept delegated responsibility for specific administrative tasks and manage these effectively. Undertake administrative duties as required within usual working hours. Report significant events to the manager and make a record of such. Attend meetings relevant to your role in the practice. Any other duties which may be required and agreed with the partnership.
