Key Responsibilities
Operational Support
• Assist the Service Coordinator as needed during the working day.
• Monitor the Company Vehicle Log, ensuring records of services, MOTs, tax, and inspections are up to date; issue the log upon request.
• Track daily time and attendance records for engineers and staff every morning.
Administrative Support & Software Management
• Use company systems, including CHIME, TCards, Parking Apps, and Labour Planner, to review service tasks.
• Regularly check and respond to internal emails for urgent administrative requests.
• Add new jobs to the CHIME system to enable engineers to log their attendance on site.
• Add new jobs to the TCards Jobs Board.
• Update the Socotec and KCE PO Trackers daily.
• Update the Company PO Sent Matrix weekly.
• Work with Sam to close out completed jobs in the CHIME system.
• Using CHIME, download new toolbox talks and any documentation uploaded by the engineers, including accident reporting, which is to be reported to Projects@aspec-environmental.co.uk.
• Pull off photos from the WhatsApp group to save to the relevant job file and issue with reporting when received.
• Monitor the Reports@ mailbox, review, save to job file, issue to management for review where needed and issue to client.

• Strong attention to detail and organisational skills.
• Proficiency in using administrative and scheduling software.
• Ability to prioritise and handle multiple tasks in a dynamic environment.
• Clear and professional communication skills.
• Proactive and able to work both independently and as part of a team.
