Applications are invited from experienced, organised, and proactive administrators to join the Institute of Dentistry’s Administration Team.
The successful candidate will enjoy working in a frontline support role and will be responsible for efficiently and independently managing a wide range of administrative tasks to support all activities across the Institute.
This full-time, office-based role is located in the Aberdeen Dental Hospital and Institute of Dentistry building on the Foresterhill site. The postholder will be required to build effective working relationships with a range of University staff and with NHS administrative, nursing and clinical colleagues who support the education and training of dental students.
Based in the busy Institute Administration Office, the postholder will provide high quality administrative support for the Institute’s undergraduate and postgraduate programmes.
In addition to programme-specific administrative activities, the postholder will be required to work independently as well as part of a team to support a wide range of administrative activities essential to the effective running and operation of the Institute to ensure compliance with regulatory, funding, financial and other external and University requirements.
This is a varied and demanding role with key responsibilities which include administration to support programme delivery, timetable administration, student attendance monitoring, administration to support effective liaison with external Workplace Supervisors and NHS staff at Outreach centres, arranging travel and expense claims for students, supporting senior staff and supporting key administrative actions relating to finance and purchasing, supporting HR-related activities and committee servicing and minute taking.
Due to the nature of the Institute’s programmes, which are delivered at Aberdeen Dental Hospital, at NHS Outreach centres, external workplaces and online, the Institute Administration Assistant will have the opportunity to liaise with students, clinical academics, NHS nursing and administrative staff and a range of internal and external stakeholders.
Salary will be at the appropriate point on the Grade 3 scale, £24,906 - £26,338 per annum, and negotiable with placement according to qualifications and experience.
