Child and Adolescent Mental Health Services (CAMHS) are looking for a self-motivated, organised, and proactive individual to join the team in the role of Personal Assistant to the two Heads of CAMHS.
The role would suit someone with experience in personal assistant or senior administrative roles, who is used to working in a dynamic and energetic service. Experience in a health and or social care environment and a commitment to working to improve care and support for children and young people would be of benefit. A positive and flexible approach is essential in this role. The post holder will be expected to liaise and communicate effectively with all levels of staff within the service and the wider Trust
Berkshire Healthcare operates services for Children, Families and all age pathways across the whole of Berkshire. Services are operationally managed in 2 Portfolios:
Children’s, Family and Neurodiversity Services (CFAN) and CAMHS, BEDS and LD Services.
This post works to provide high-level administrative support to the Head of Service for CAMHS Access, Advice and Getting Help Services and the Head of Service for CAMHS Getting More Help, Targeted and Risk Support Services.
• 12 month fixed term contract ( The role could also be offered as a secondment )

• Assist Heads of Service in the organisation of their electronic calendars, appointments, correspondence, and office administration
• Co-ordinate internal and external meetings and take minutes as required
• Monitor processes and prioritise all incoming communication (physical and electronic), distributing correspondence for action, drafting responses, process checking and follow through
• Ensure Heads of Service are briefed on correspondence and action taken. Respond to or re-direct designated emails that come in through the Heads of Services’ accounts
• To undertake a variety of administration functions related to the recruitment and terminations of staff and ensuring accurate staff information is collated and maintained confidentially as requested by the Heads of Service
• To support Heads of Service’ in collation of information for processing of complaints, grievances or investigations maintaining a high level of confidentiality
• To be accountable for efficient and accurate data being recorded on the Electronic Staff Records (ESR) and E-Manager system
• Work closely with other secretaries and administrative support within the Trust
• Participate in coordinating or leading special projects that facilitate the smooth functioning of the Heads of Service offices or which supports the overall performance and achievement of the Trust
• Provide high standard, effective support to the Heads of Service

The “must haves” for this role:
1. NVQ4 or equivalent qualification/experience.
1. Knowledge of administration and/or office procedures.
1. Extensive knowledge and experience of working in a busy service and/or customer care environment, undertaking a full range of administrative duties and supervision and management of staff / work.
1. ECDL (European Computer Driving Licence) or equivalent knowledge and experience of using a variety of software programmes/packages – Teams / Ms Word / Ms Excel / Ms Outlook (Intermediate to Advanced level)
1. To attend and contribute to staff meetings and Forums, supervision sessions, training courses, seminars, and workshops, to ensure the development and enhancement of current working practices.
1. To participate in all personal review meetings and take responsibility for personal and professional development. Responsibility for developing the role and the services provided.
1. Ability to effectively prioritise and manage a varied and demanding workload to meet urgent deadlines.
1. Ability to clearly present information both verbally and in writing.
1. Able to use initiative and demonstrate ability to work without direct supervision.
1. Proven ability to take and produce accurate minutes of meetings.
