Job OverviewThe Vetting Admin Team Leader plays a key role in ensuring the smooth and efficient operation of the vetting administration team. This position is responsible for leading a team of administrators, maintaining high standards of accuracy, compliance, and customer service across all vetting activities.
You will oversee daily operations, monitor performance, implement process improvements, and act as a central communication point between the vetting team, other departments along with external stakeholders. The role requires a proactive, organised, and people-focused leader who can balance operational demands with strategic oversight.
Main Duties
Team Leadership & Development
-Supervise, mentor, and support the Vetting Admin Team to ensure consistent performance and high-quality output.
-Conduct regular one-to-one meetings, appraisals, and training sessions to support staff development and morale.
-Delegate tasks effectively and ensure clear communication of objectives and deadlines.
Operational Management
-Oversee day-to-day administrative functions, ensuring all vetting activities are processed accurately and within agreed timescales.
-Coordinate workflows, monitor workloads, and identify opportunities to improve efficiency and resource allocation.
-Ensure appropriate cover and continuity of service during absences.
Process Improvement & Compliance
-Review and refine administrative processes to streamline operations and reduce turnaround times.
-Ensure compliance with company policies, GDPR and relevant industry standards.
-Maintain up-to-date knowledge of vetting requirements and contribute to policy and procedural updates.
Data & Reporting
-Ensure the accuracy and integrity of all records, files, and databases.
-Produce regular reports, statistics, and performance metrics for senior management.
-Support audits and quality assurance reviews by providing accurate documentation and insights.
Communication & Stakeholder Management
-Serve as the first point of contact for administrative queries within the vetting department.
-Build positive relationships with internal teams, clients, and external agencies to ensure effective coordination and service delivery.
-Escalate complex issues or risks promptly to management.
Problem Solving & Continuous Improvement
-Identify operational challenges and implement practical solutions to maintain service standards.
-Encourage a culture of continuous improvement, accountability, and teamwork within the admin team.

-Experience in an administrative leadership or supervisory role (ideally within a vetting, HR, compliance, or security environment).
-Strong organisational and time-management skills with the ability to prioritise competing demands.
-Excellent written and verbal communication skills, with a professional and approachable manner.
-High level of accuracy and attention to detail.
-Confident decision-maker with strong problem-solving skills.
-Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable with database or case management systems.
-Understanding of confidentiality, data protection, and compliance requirements.
Desirable:
-Experience in the vetting, security screening, or DBS.
-Knowledge of relevant legal or regulatory frameworks (e.g., DBS Eligibility, GDPR).
