About the Role
Liverpool City Council is seeking a highly organised and proactive Secretary (Grade 5) to provide comprehensive administrative support to the Commonwealth Games 2026 (CWG 2026) Bid Team. Based within Children & Young Peoples Services, this role is vital to ensuring the smooth operation of a high-profile, fast-paced team.
Key Responsibilities
Deliver full secretarial support to all CWG 2026 Bid Team members
Manage diaries and schedules with efficiency and foresight
Provide a professional reception service for visitors and senior colleagues
Filter and prioritise emails, calls, and correspondence
Liaise regularly with senior stakeholders including the Mayor, Chief Executive, elected members, MPs, and partner agencies
Organise and service meetings: prepare agendas, take minutes, and arrange logistics
Handle delegated correspondence and resolve issues independently
Arrange travel and accommodation, and maintain records of expenses
Process payments and invoices via SAP
Monitor budgets and financial activity for the CWG 2026 Bid Team
Support other leadership team members during absences
Maintain confidentiality and exercise sound judgement in sensitive matters
Produce reports, presentations, and documents for the Director
Champion the use of technology and support system improvements
Contribute to health and safety and performance management processes

Proven experience in a senior administrative or secretarial role
Excellent communication and organisational skills
Confidence handling sensitive and high-profile communications
Strong IT skills including Microsoft Office and SAP
Ability to work independently and manage competing priorities
Professional discretion and a proactive mindset
