Job Title: Operations Manager
Reporting To: Chief Executive Officer
Responsible For: Line management of a small team
Base: YES Manchester, Newton Heath (M40 2TP) and Collyhurst (M40 7GH), with some outreach across Greater Manchester
Salary: £33,000 – £36,000
Contract: Full-time, permanent (part-time or interim considered)
Hours: 35 hrs per week, Monday–Friday (flexible working considered)
Benefits: 25 days’ annual leave (rising to 30 after 5 years), birthday off, 3x death-in-service cover (post-probation), access to EAP, matched pension up to 8.5%

1. Purpose

The Operations Manager ensures the smooth and efficient running of YES Manchester through effective systems, data, and partnership coordination. Supporting the CEO, the role ensures services run safely, efficiently, and in line with organisational values.

You’ll line manage the Operations Administrator and Cleaner, work closely with the Employability Manager, and oversee data collection, CRM systems, supplier management, and operational compliance. You’ll lead reporting for funders, partners, and trustees, using insight to drive improvement and support strategy and funding development.

2. Key Responsibilities

Leadership and Management
• Line manage the Operations Administrator and Cleaner, providing supervision and development support.
• Work with the Employability Manager to ensure systems and resources support frontline delivery.
• Chair operational meetings and contribute to team communications.
• Act as delegate for CEO duties when required.
• Promote a positive culture aligned with YES Manchester’s values.

Operations and Service Delivery
• Oversee day-to-day running of YES Manchester centres and outreach locations.
• Ensure facilities and systems enable safe, effective, and inclusive service delivery.
• Lead on use of data and reporting tools to measure outcomes and impact.
• Maintain oversight of safeguarding, equality, health and safety, and risk assessments.

Data, Systems, and Reporting
• Lead on CRM and data management to ensure accuracy and compliance.
• Produce performance dashboards and reports for funders and trustees.
• Work with the CEO and Employability Manager to analyse trends and inform decisions.
• Ensure digital tools and processes are efficient and support continuous improvement.

Stakeholder and Partnership Management
• Manage supplier and contractor relationships to ensure quality and value for money.
• Support positive relationships with funders, employers, and VCSE partners.
• Represent YES Manchester at operational and partnership meetings.
• Oversee website and digital presence to ensure visibility and impact.

Finance and Compliance
• Support delegated budget management and purchase approvals.
• Use QuickBooks and related systems to monitor spend and reconcile invoices.
• Ensure supplier contracts, GDPR, and data protection compliance.
• Produce timely operational and performance reports for trustees and partners.
• Take board minutes and maintain accurate organisational records.

Communications
• Contribute to internal and external communications and reports.
• Support content creation highlighting YES Manchester’s impact and partnerships.
• Promote the organisation’s mission and visibility across Greater Manchester.

3. Person Specification

Essential

Proven experience managing operations or systems in a charity or community service environment.

Strong skills in data management, analysis, and reporting.

Experience managing suppliers and contractors for quality and value.

Confident using CRM systems and digital tools to improve performance.

Knowledge of GDPR, safeguarding, and health and safety compliance.

Financial awareness and experience supporting budgeting and procurement.

Excellent written and verbal communication skills.

Strong organisation and problem-solving skills with attention to detail.

Collaborative, adaptable, and values-driven with a commitment to inclusion.

Desirable

Level 6 qualification or equivalent experience.

Management or Operations qualification.

CRM administration or database improvement experience.

Understanding of funding and contract management.

Experience contributing to funding bids or proposals.

Presentation and networking experience.

Full UK driving licence.
