Sixth Form Receptionist/Attendance Administrator
Main Duties and Responsibilities:
To receive visitors, sign them in to the school and assist them as appropriate, ensuring all safeguarding procedures are followed.
To operate the switchboard – redirecting calls, taking messages, announcing calls whereappropriate.
To sort the post for the Sixth Form Centre.
To support and administer any 16+ travel claims.
To support and administer the allocation of Sixth Form Student Parking Permits and driving lesson absences.
Responsibility for the annual archiving of all student records.
To assist with general Sixth Form administrative tasks.
To undertake any other appropriate duties as required by the Line Manager.
Attendance
Check electronic registration, taking steps to clarify and verify attendance where necessary by checking messages sent to the Academy and the absence of some students.
Monitor the registration procedures of teachers and liaise with teachers, Attendance Manager and Assistant Head of Year in order to investigate and challenge discrepancies and to keep these procedures prompt and accurate.
Contact home either via telephone or email to report on the first day of unaccounted absence of any students and follow this up with phone calls on all subsequent days of unaccounted absence.
To make telephone calls home as requested by Head of Sixth Form or Assistant Head of Sixth Form where there are specific student safeguarding concerns.
Use Sims Attendance module to input codes for students requiring additional information concerning their attendance.
Track the attendance of students, alerting the Attendance Manager about attendance problems and support with producing reports as requested by SLT, Head of Sixth Form and external agencies as required.
Arrange attendance meetings with parents/carers as directed by Head of Sixth Form or Assistant Head of Sixth Form.
To administer, monitor and record individual attendance arrangements as agreed with Head of Sixth Form or Assistant Head of Sixth Form.
To administer detentions for Sixth Form attendance issues, missed lessons and other Sixth Form sanctions.
To take a lead role during Sixth Form fire drills ensuring accurate accounting of all students and visitors.
Maintain a level of confidentiality as necessary, whilst sharing concerns / relevant information with appropriate staff in relation to attendance related issues.
Undertake a range of administration duties as directed.
Administration Assistant
Main Duties and Responsibilities:
Working alongside the Marketing and Communications team, Trips Coordinator, Exams and SIMS Manager and Student Support department.
General office and administrative support to include processing reprographics requests, drafting and proof-reading communications and website documents, creating forms and responding to routine and sometimes confidential correspondence.
Administration of the Parents Evening booking system, Open events and other key academic events, (such as Option Evenings) in conjunction with the Marketing and Communications team.
Support with Work Experience administration as required
Cover the main reception area when required
Support at out of school/working hours events as required
General Support:
Report student and Academy issues in line with the Academy’s policies for health and safety, child protection, behaviour management etc.
Attend meetings and training sessions as required
Be aware of and act in line with Academy policies and procedures as outlined in the Staff Handbook
Be involved in extracurricular activities, e.g. open days and presentation evenings as required
To handle all confidential correspondence and matters with discretion at all times
Assist with student needs as appropriate during the school day
Attend Open Days once a year
Performance Management
Participating in the Academy’s arrangements for performance management, professional development and that Academy’s arrangements for quality assurance and internal verification
Attend relevant CPD opportunities
