Summary of role

This role is a very important part of the team at the Hostel, and enables Roundabout to provide high quality support and accommodation for young people housed there. You will be working as the Residential Housing Administrator in a busy office environment, providing housing support for all the young people living at the Hostel.

You will be in daily contact with all young people living at the Hostel. You will be responsible for managing the booking in process, the administration of all the Housing Benefit claims, collating incoming rent, general property admin and providing any day-to-day assistance for the Hostel manager as required.

The role will be based completely at Roundabout's Hostel.

Key Accountabilities

- Create and oversee the Hostel residents Housing Benefit claim applications. Create new claims, submit change of circumstances for existing claims and submit leavers notifications for residents who end service.
- Work with Hostel keyworkers to ensure up to date documents are received that relate to any ongoing HB claims; organise acquiring BRP information, employment details, wage slips and any other documents required by the Sheffield City Council Housing Benefit Assessment Team.
- Provide contact, advice and guidance to Hostel residents within the framework of the license agreements and any relevant Roundabout policies and procedures.
- Ensure service handbooks and sign-up packs for new residents are relevant, up to date and accessible, this will include updating any changes to the license agreements where necessary.
- Meet with new service user’s following the initial up to ensure housing management aspects, such as the rights and responsibilities of their license agreement, are revisited. This will include embedding and reinforcing the expectation that the young people maximise their income, pay rent charges and enabling them to demonstrate positive behaviour within the Hostel environment.
- Undertake a weekly income check for all residents and effectively communicate this to the rest of the Hostel team. Contribute towards the monitoring of rent accounts, liaise with key workers and work within the framework of the Roundabout rent arrears and eviction policies and procedures.
- Offer housing management if there is anti-social behaviour, issues with rent arrears or other breaches of license agreements. This is done in conjunction with the young person’s key worker and the Hostel management team.
- Ensure all necessary paper work has been received when a resident surrenders their license agreement.
- Assist with reporting all day to day repairs required for the maintenance of the Hostel accommodation.
- Ensure that the fabric of the accommodation is kept to a high standard by carrying out weekly Health & Safety and damage checks. Report any damage or repairs to the relevant personnel.
- Monitor Hostel night workers Health & Safety and damage checks to maintain the high standard agreed by Hostel management.
- Ensure void bed spaces are cleaned and repaired to a high standard for new service users by referring to the void inspection sheet and aliasing with relevant personnel to create repair jobs and place stock orders. Ensure that all repair reports are placed in a timely manner and make sure all relevant paperwork is completed and signed.
- Ensure there is comprehensive written communication records for residents. Records must be relevant, appropriate and accessible; this will include any written sanctions such as formal breach of license agreements and NTLO.
- Ensure petty cash records are up to date and accurate, that the cash on site balances and accurate receipt records are kept. Process and submit these records in agreement with Roundabout’s Finance team.

Other Duties

- Contribute towards general reception duties; this includes greeting, and creating a welcoming environment to our service users and visitors.
- Assist with telephone calls and enquires.
- To facilitate referrals to the project when required.
- To maintain adequate supplies of office paperwork through photocopying and assist with the general organisation of the office, including the safe storage of data.
- To facilitate minute taking when required.
- Attend and participate fully in relevant staff meetings, away days and training days.
- Undertake appropriate training and professional development activities and participate in Roundabout's supervision and appraisal process.

Person Specification

Specific Knowledge, Experience & Skills

- Managing rental income and an understanding of housing benefit applications
- Experience undertaking clerical and administrative work
- Experience working with a vulnerable client group is desirable
- Experience of responding to difficult situations including anti-social behaviour is desirable
- Experience working within the housing sector is desirable
- Knowledge of safeguarding vulnerable people is desirable
- Knowledge of welfare benefits is desirable
