Administration Assistant

We’re looking for an Administration Assistant to join our facilities team on a 6 month fixed-term contract. As the team manages an increased workload, you’ll play a vital part in keeping everything on track by supporting the scheduling of maintenance, keeping asset records up to date, managing filing systems, and helping coordinate contracts and suppliers. Your ability to stay organised and focused will ensure that essential behind-the-scenes tasks are completed efficiently and to a high standard.

Our Estates team plays an essential part in ensuring our hospice and shops are safe, welcoming, and well maintained—helping us create an environment where patients, families, staff, and volunteers can feel at ease.

Hours: 20 hours per week (flexible working pattern, Monday–Friday)

Temporary – Fixed Term Contract until March 2026

What you’ll be doing:

• Supporting the Estates team with the administration of facilities across the hospice and our shops.
• Creating and maintaining service schedules for premises and equipment.
• Updating and managing asset registers and databases.
• Assisting with filing, archiving, and record-keeping.
• Helping to coordinate contracts and liaising with suppliers.
• Ensuring essential tasks run smoothly to support the wider team.

• Strong administrative skills with good knowledge of Microsoft Office.
• Excellent organisational ability, with accuracy and attention to detail.
• A team player with good interpersonal skills.
• Someone who values working inclusively and can adapt to changing priorities.
• A reliable and professional individual who takes pride in their contribution.
