CLINICAL RESPONSIBILITIES 1. To provide a high-quality reception service, whether on the main reception desk or in specialist areas. Duties will include: Dealing competently, professionally and sympathetically with patients and their escorts visiting the department, some of whom may be aggressive, distressed, or has communication difficulties arising from linguistic difficulties and a variety of other causes. Whilst on reception ensuring that patients are directed to the appropriate waiting area, whether ultrasound, nuclear medicine, CT and MRI departments, or to general X-Ray. Advising nursing staff of patient arrivals, when appropriate. Refer to the clinic clerk for rebooking any patient arriving more than 10 minutes late for an Ultrasound appointment. Providing a high-quality responsive telephone service, dealing with general enquiries or referring calls to the relevant person or department. 2. To assist in the organisation and servicing of clinics within radiology. Advise patients as per agreed protocols. Send out appointment and prep sheets and deal with telephone queries. Prepare referrals for verification and/or discussion by consultant radiologists. Deal with DNA patients according to department protocols. Liaise with medical staff about inpatient appointments and ward visits. RESPONSIBILITY FOR PATIENTS To provide a flexible and responsive outpatient appointment service including: Making appointments, where appropriate, when requested electronic orders, by letter, telephone, or the patient's personal attendance. Despatching any paperwork or medical preparation necessary for a diagnostic examination. Providing from department protocols any relevant medical and dietary information. This may include liaising with patients to ensure that scheduled examinations do not coincide with menstrual dates. Dealing with enquiries about appointments Changing or cancelling appointments as the need arises, including adjustments to schedules caused by the unavoidable absence of clinical staff, or equipment breakdown. Arranging late-booked appointments. Liaising with Radiologists about incoming referrals, booking patients as advised and with reference to protocols such as age-limits Maintaining the appointments system in respect of appointments, consultant leave, servicing schedules and other relevant information. To provide patients with services needed to facilitate their appointments: Arrange patient transport, when required, taking note of patient mobility. Arrange day beds for patients, when required. Arrange interpreters when necessary. Deal with DHSS travel claim forms when presented by patients. RESPONSIBILITY FOR POLICY AND SERVICE DEVELOPMENT Contribute to the development of the service. Collate information as required for auditing and improving the service. Promptly advise line management of any likely breaches in performance targets. Be able to prioritise workload and work to deadlines. Maintain a flexible attitude to possible changes in job contents. Undertake other duties reasonably required to ensure the smooth running of the department. This may be at the request of the Office Manager or other senior staff. Ensure that matters involving patient care are kept strictly confidential. RESPONSIBILITY FOR FINANCIAL AND PHYSICAL RESOURCES To attend to department housekeeping duties: Dealing with incoming post. Date-stamp non-EPR referrals and distribute as necessary. Load printers with paper, labels and ink media as required. RESPONSIBILITY FOR LEADING AND MANAGING Working with colleagues and assisting team members as necessary. RESPONSIBILITY FOR INFORMATION RESOURCES To enter data onto computer systems used by the department, including the Radiology Information System (CRIS), Patient Administration System (PAS), and Picture Archiving Communication System (PACS), ensuring excellent data quality and the avoidance of multiple registration. To perform data checks and searches as required. Duties will include: Ensuring that relevant PAS numbers are recorded on the Radiology Information System. Checking patient details, on PAS and other systems, according to department protocols. This is of particular importance in relation to GP referrals. It will include patient status, referring doctor and follow-up clinic appointments. Retrieving clinical details from the EPR system when paper records are unavailable, and reprint referral forms when required. Ensure that EPR requirements such as correct labels and currency of examination dates are met if appropriate. Cancelling on computer any out-of-date, incorrect or repeat examination entries. Preparation of images onto CD as required. RESPONSIBILITY FOR RESEARCH AND DEVELOPMENT Participate in any audits as directed by the Department Assist with any research required to help improve the departments services
