To ensure the HR/Estates Senior Leadership Team are appropriately briefed on key topics, and that prime tasks and objectives of the directorate are being progressed appropriately. Effective and efficient management of diaries, enabling appropriate spread of planning time. Ensuring team engagement and providing general support to the HR/Estates SMT and community.

Your main duties will include:

  • Co-ordinate activities across the HR/Estates team on a range of issues
  • Control and prioritise mail, circulate information to Heads of groups within services, stakeholders and arrange co-ordinated responses.
  • Handle internal & external phone calls redirecting as appropriate whilst working collaboratively with the wider HRED team and other PA’s
  • Prepare papers and briefing material for key meetings and consultation and telephone conferences.
  • Assist with organising diaries for the SMT within the department, ensuring the right balance between meetings, allocating sufficient time in advance for preparation
  • Preparing agenda’s and note taking at various internal and external meetings. Collating and circulating papers in advance and following up on agreed actions
  • Providing support for document management across the department, particularly in respect of contract documentation
  • There may be occasions where support is required in covering the HRED Director’s PA responsibilities
