We are looking for an enthusiastic individual to provide administration support to the Strategic Programmes and Development team. The team is responsible for implementing complex programmes of change with strategic importance, and also for coordinating bids and tenders to enable business development.
This role will include hybrid working (home and office). The post will be based in Hollins Park House in Warrington; however the post holder will also be expected to work regularly from the V7 building:

To ensure the provision of a comprehensive, confidential, accurate and timely secretarial and administrative service to the service manager and team members including personal responsibility for a number of delegated tasks including support the Director of Strategic Programmes and Development and the team as and when required.
To ensure the delivery of the quality strategy within the designated area incorporating establishment of systems and processes.

1. To manage and maintain the Director of Strategic Programmes electronic diary and utilise their time in the most effective way. This will involve the exercise of tact and persuasion to ensure that, as far as possible, the Head of Strategic Programmes availability takes priority. Where appropriate, manage the diaries of other members of the Head of Professional Education’s Team in the same way.
2. To arrange a variety of meetings and conference events to include internal and external personnel. Arrange a suitable venue and order refreshments as required and ensure all relevant personnel receive invitations.
3. Provide an administrative service to manager and team, supporting the Business Development processes.
4. Use own initiative to prioritise workload and escalate conflicting priorities to managers as appropriate.
5. Receive and record all incoming mail and auto forwarded email transmissions to the relevant member staff. Prioritise the mail ensuring all urgent issues are brought to the manager’s attention and take action as directed by the manager.
6. In the absence of the manager ensure that all relevant staff are kept informed and updated on any issues/queries and seek clarification on what information requires immediate action.
7. Manage communication systems efficiently and effectively with staff and stakeholders.
8. Produce statistics, documents and reports, using various computerised systems, as and when required.
9. Maintain databases and systems.
10. Maintain and update the manager’s diary and ensure that manager has all relevant
papers when attending meeting.
11. Prepare papers and agendas for meetings as required. Attend and transcribe the notes and distribute accordingly. Set deadlines for typing/checking the notes and gathering agenda items to ensure timely distribution of paperwork.

12. Co-ordinate the arrangement of meetings, visits, assessments and appointments for the Manager and colleagues, both internally and externally. Organise hospitality and/or overnight accommodation if required and make necessary transport arrangements.
13. Maintain comprehensive filing systems for information received.
14. Complete stock and non-stock requisitions, order goods services and/or equipment for the team and act as authorised signatory where appropriate.
15. Maintain systems to support the monitoring of annual leave, sickness, carer’s leave
and study leave.

Supervise other members of the team as required, allocating duties as necessary.
17. Contribute to team meetings suggesting as appropriate any improvements to service which may be practical in the area.
18. Contribute to general development initiatives and project work in line with service requirements.
19. The post holder shall as necessary provide cover for and undertake duties of absent colleagues. The post holder shall follow all the policies and procedures of the organisation.
