Summary

Purpose of the Role

The Business Analyst / Product Flow Engineer is responsible for identifying, shaping, and supporting the delivery of impactful business process improvements, particularly those enabled through AI, automation, and smarter use of digital and intelligent tools. The role focuses on helping the organisation operate more efficiently and effectively—reducing manual effort, unlocking insight, and delivering seamless experiences for both staff and customers.

This position works cross-functionally to define and prioritise change initiatives, prepare business cases, and support delivery. As part of a newly formed Business Change team, the role plays a central part in understanding how the business operates today and what needs to change to support future growth.

A key aspect of this role includes learning and applying knowledge of the organisation’s bespoke platforms, particularly the membership system and mobile app, to ensure process improvements align with existing system capabilities.

Key Responsibilities

1. Business Analysis & Process Improvement

  • Review, document, and analyse end-to-end business processes to identify inefficiencies, risk, and automation potential.
  • Run workshops and conduct interviews with subject matter experts to gather insights and map workflows.
  • Work closely with stakeholders to define problem statements, improvement opportunities, and desired outcomes.
  • Ensure solutions are simple, scalable, and focused on delivering a frictionless experience for users.
  • Learn the functionality and constraints of core platforms, including membership and mobile solutions, to ensure proposals are grounded in real-world capabilities.

2. Scoping & Business Case Development

  • Produce clear scope definitions and success criteria for automation or AI-led projects.
  • Quantify cost savings, time reductions, or other ROI metrics in collaboration with finance and operational leads.
  • Obtain business sign-off on prioritised opportunities for delivery.
  • Work with delivery teams and vendors to support technical discovery and feasibility assessment.

3. Change Support & Portfolio Contribution

  • Support solution design by documenting user stories, acceptance criteria, and high-level workflows.
  • Liaise with internal delivery teams and IT colleagues to align proposed changes with strategic platforms.
  • Co-own the pipeline of automation and change opportunities, tracking status, impact, and dependencies.
  • Provide regular updates and summaries for use in governance forums and leadership reporting.

4. RFP & Vendor Engagement

  • Contribute to the preparation of RFPs for AI, automation, or process reengineering vendors.
  • Assist in the evaluation of proposals, cost models, and capabilities.
  • Ensure external solutions complement internal systems and long-term objectives.

5. Technology Enablement (Low-Code/No-Code)

  • Where appropriate, support the use of low-code/no-code platforms, such as Microsoft Power Automate, Power Apps, or others, to prototype or enable automation solutions.
  • Work with IT and platform owners to ensure governance, security, and sustainability of any developed flows or business logic.
  • Contribute to documentation and transition activities for flows and automations that move into ongoing support.

Scope of Responsibility

  • Business analysis and improvement support across all departments.
  • Contribution to the change initiative pipeline and project prioritisation.
  • Shaping of automation and AI use cases, grounded in practical system knowledge.
  • Occasional hands-on support for enabling technology (e.g. mapping automation flows or identifying integration points).

Skills and Experience

Essential:

  • Experience in business analysis, process mapping, or workflow improvement roles.
  • Strong facilitation and documentation skills (e.g. process maps, requirements, business cases).
  • Strong commercial awareness with ability to evaluate project impact and ROI.
  • Ability to learn system capabilities (e.g. mobile and membership platforms) and translate into actionable insights.
  • Skilled in stakeholder engagement and cross-functional collaboration.

Desirable:

  • Exposure to Power Automate, Power Apps, or similar low-code/no-code platforms.
  • Experience in a membership, SaaS, or digital subscription business model.
  • Familiarity with tools such as Lucidchart, Visio, Power BI, Excel, or Miro.
  • Background in digital transformation, service design, or customer journey optimisation.
