Job Description
Purpose
Facilities Officers are integral to the services delivered by the Office Services team. Post holders will cover a range of duties from messenger rounds to mail handling and security pass production. This is an exciting opportunity to work in a friendly, experienced team who are key in supporting the wider operations of the business.

Key Responsibilities
- Cover service desks during set operational hours; respond to customer requests by phone, email, or in person in a timely manner.
- Undertake scheduled messenger rounds, delivering and collecting mail and confidential waste.
- Provide excellent customer service when setting up conference and training rooms, ensuring correct layouts and equipment are in place.
- Respond proactively to ad hoc requirements, working with Office Services and PDD teams to achieve best outcomes.
- Manage courier deliveries and daily dispatch of mail/parcels, including sorting, weighing, bagging, franking, and arranging collections.
- Undertake deliveries and collections (up to a 60-mile round trip, including Nine Mile Point) in line with SLA's.
- Verify collection documentation in compliance with Environmental Permitting Regulations 2007.
- Ensure all incoming mail is scanned in line with IPO policy and attend six-monthly refresher training.
- Segregate recyclable waste, record weights, and ensure secure storage of confidential waste.
- Conduct site inspections and checks (e.g., PAT testing), ensuring compliance with health, safety, and ISO standards.
- Manage and process starter and leaver information and documentation.
- Support Facilities Managers in collating statistics for governance reporting and assist with ad hoc support (e.g., minute taking).
- Provide support to wider teams (portering, NMP project team), including retention/disposal activities and working at height using a Work Assisted Vehicle (WAVE).
Full training will be provided.
Essential Requirements
- Over 25 years of age (insurance policy requirement).
- Full clean UK driving licence (automatic vehicle).
- Adaptability to manage changing priorities and deadlines.
- Demonstrated ability to meet customer needs.
- Proficiency in Microsoft Office applications (Outlook, Excel, Teams, etc.).
- Ability to manage own workload and prioritise effectively.
Experience
- Experience in customer relationship management and stakeholder engagement.
- Knowledge of and compliance with statutory, regulatory, and professional requirements.
Security
- Successful candidates must pass a Disclosure and Barring Service (DBS) basic security check.
- Candidates must meet the security requirements before appointment.
- The level of clearance required is Security Check Basic DBS
