The role:
We are seeking a highly organised and efficient Assessment, Planning & Resource Admin Officer to provide effective, high quality, statutory administrative and business support to service teams in SEN and Disabilities Integrated Service (SENDIS), as directed by senior management within each service area.
Key responsibilities:
Provide administrative support throughout the lifecycle of client cases – completing forms, reports, letters and memoranda for assessment of EHCPs, annual and interim reviews, provide knowledge based casework to support parents/carers and families, administering of panels including taking accurate minutes, dealing with schools, colleges and residential placements
Maintain accurate digital records on case management systems, ensuring data quality and compliance with statutory requirements
Process financial transactions, including raising purchase orders, managing invoices (via E5 and Mosaic), and setting up service agreements
Be responsible for processing all applications to foster and undertake all statutory checks as required by the service and support fostering and adoption processes by handling statutory checks and liaising with GPs, referees, health services, and external agencies
Compile and analyse statistical data to support performance monitoring and reporting, including data on foster carers and children placed, number of enquiries the Access to
Resources receives on a monthly basis and number of completed assessments approved at Fostering panel and produce reports accordingly
Manage team diaries, coordinate meetings, minute panels, and respond to enquiries from professionals and the public
Support child protection and safeguarding processes by escalating concerns and recording key information promptly
Assist with payments under Sections 17 and 24 of the Children Act in the absence of social workers
Provide admin support for asylum-seeking children, including maintaining funding records and liaising with government departments
Undertake general office duties including stock control, scanning/indexing and document preparation
Produce regular reports from the database systems ensuring that all missing data is captured, performance timescales are being met and systems updated to reflect accurate records and provide management team with progress reports
What the client is looking for:
Excellent numeracy/literacy skills
Excellent written and verbal communication skills
Experience of processing new Education, Health and Care Needs Assessments within statutory timescales
Advanced ICT skills and effective use of specialist ICT packages
Experience of performing a wide range of administrative tasks and follow written policies and procedures
Ability to understand legislation and follow written procedures and policies
Ability to deal sympathetically with clients who are angry or frustrated
Ability to deal with sensitive, confidential and sometimes distressing information
Ability to take notes/minutes at meetings
Ability to plan, develop and maintain office systems
Ability to collate and present information including statistic and other data as required
