Summary
We’re looking for a Business Administrator to join our Digital Technology team.Working within the Customer Services Team, and reporting to the Technology Customer Service Manager, the Digital Business Administrator will provide essential support to ensure the RSPB’s daily IT operations run smoothly.This is an exciting opportunity to shape and demonstrate how investment in this area can provide a step change in the provisioning and use of business hardware and systems to help save nature and deliver a more technologically aware workforce.You will provide comprehensive business administrative support to the Digital Technology team, including the administration of support processes, the organisation and maintenance of IT equipment, liaising with suppliers so that staff and volunteers can operate efficiently.You will build, maintain and develop effective relationships with people at all levels, both internally and externally, using diplomacy and tact, while ensuring that complex confidential and sensitive matters are handled appropriately, so that all contact is professional, and RSPB is represented in a positive manner.Administrate and action requests for the RSPB mobile fleet, IT hardware, software and peripherals, and arrange their respective dispatch through internal processes and procedures. Gatekeeping any requests to ensure they are relevant, necessary and delivering value to the organisation.Monitor and maintain stock levels both locally and at the RSPB distribution centreCarry out basic research and analysis of call trends identifying areas where service improvement or change is required and work with the Technology Customer Services manager to ensure that the user and their needs are represented in workforce experience strategic thinking.You will be able to work under your own initiative, setting team rotas and reporting on service levels and user satisfaction and occasionally represent the team within the Technology Portfolio’s business planning periods.Essential Skills, knowledge and experience:Good knowledge of Microsoft O365 applications (Outlook, Word, Excel etc)Proven customer service skillsExcellent organisation skillsAbility to prioritise workload and deliver results effectively and to delegate tasks, during periods of both low and high demandAble to communicate effectively with a wide range of audiences whether by phone, email or in personAble to identify and act on opportunities for continually improving ways of workingAble to proactively identify and solve problems, willing to seek help and accept advice for positive outcomesAble to deal with confidential and sensitive information appropriatelyExperience of providing administrative support within a large and complex organisationExperience of liaising with staff at all levels in external organisations, particularly to support partnership working and building relationshipsExperience in using an IT Service Management system.Proficiency in stock management. Desirable skills, knowledge and experience:Knowledge of budget management terminology and processesExperience of working with a procurement or supply chain teamFinancial experience with regards to understanding Purchase orders and administrating invoices under £25k.Good knowledge of IT hardware and software terminologyKnowledge of document management and team collaboration toolsAdditional Information This is a Perm - Full/Time position working 37.5 hours per week.
